Operations and Facilities Coordinator

POSITION SUMMARY

The Operations and Facilities Coordinator will support Macfadden’s contract with the United States Agency for International Development (USAID), Bureau for Humanitarian Assistance (BHA). Reporting directly to the Operation and Facilities Team Lead (OAF TL) for BHA, the individual will assist the Team Lead and Deputy Team Lead with the facilities, operation and administrative work. This is a very demanding position, both in terms of time requirements, diplomacy and tact. The position requires a candidate with excellent judgment, reliability and outstanding customer service skills who is willing to go the extra mile to ensure timely and quality work is completed for BHA. The candidate must also have exceptional problem-solving skills, and the ability to multi-task. The individual must develop a working knowledge of USAID policies and guidelines, as well as corporate practices and procedures. The position is part of the Operations and Facilities team.

EDUCATION, EXPERIENCE AND SKILLS

EDUCATION:

  • MS/MA/MBA 1-3 years’ experience
  • BS/BA – 1-4 years’ experience
  • Less than BS/BA 1-5 years’ experience

EXPERIENCE:

  • At least one year of office experience working in a professional administrative role.

KEY RESPONSIBILITIES & ESSENTIAL FUNCTIONS

  • Support OAF TL and Deputy TL to ensure proper operations of the office and conference space used by the Bureau for Humanitarian Assistance.
  • Assist OAF TL and Deputy TL with troubleshooting building maintenance issues and coordinating repair with appropriate vendors
  • Assist with obtaining contractor quotes for repair.
  • Prepare for emergencies by assisting with maintaining emergency preparedness plans (ex. Emergency and Evacuation Action Plan).
  • Assist with physical space assessments through routine walk-throughs.
  • Assist with furniture orders and repairs.
  • Submit supply orders to keep supply rooms and kitchen stocked.
  • Provide general support services to BHA (ex. reserve conference rooms, order supplies, etc.
  • Reserve phone bridges for conference calls for teams.
  • Maintain and update distribution lists.
  • Seek approval and reserve concourse meeting rooms for external groups.
  • Assist with supply and furniture inventory tasks.
  • Update and send out information as requested to email groups.
  • Reserve concourse meetings rooms and assist with reserving conference rooms on other floors as needed.
  • Assist with large meetings and events which could mean reconfiguring meeting space, escorting visitors, setting up signage, etc.
  • Assist with onboarding tasks for new staff (issuing building fobs, cubicle/office name plates, building tours, etc.).
  • Assist with collecting information for monthly, quarterly, annual and ad hoc reports.
  • Supports other administrative duties as assigned.

Access Requirements


Ability to obtain and maintain a US Government issued Facilities Access or Secret clearance for the duration of your employment.  Only applicants who currently hold an active Secret or higher-level security clearance or who are eligible to receive a Facilities Access or Secret security clearance will be considered for this position.

While performing the duties of this job, the employee is regularly required to talk, hear, and use hands to finger, handle or feel objects, tools, or controls. The employee is occasionally required to reach with hands and arms. Specific vision abilities required by this job include close vision. The employee must occasionally lift or move up to 25 pounds.
