Assists Clinical Managers, Directors and Administrative Nursing Supervisors to ensure that staffing requirements of the Nursing Units are met daily. Performs general clerical work to maintain the daily operation. Provides administrative support for the nursing staffing office and Clinical Managers.

Ensures sufficient nursing staffing throughout the hospital in order to meet operating needs each day.

Evaluates staffing needs on each unit taking into consideration available staff, patient care needs, and labor cost controls; deploys and/or reassigns nursing staff in consultation with ITN and nursing leadership.

Assists with resolution of staffing conflicts/challenges.

Makes contact with staff through phone calls, emails, text messages as needed for day to day operating needs, and/or in the event of internal disasters/crises.

Maintains Nursing Staffing Sheets for the nursing office and records all changes as notified by nursing leadership.

Accurately maintains the Nursing Office Logs and Communication via MS Teams.

Maintains schedules for agency staff; verifies and tracks agency hours.

Serves as a Nursing Office liaison and provides outstanding customer service consistent with hospital values through courteous and professional communications with others by phone, email and live conversations.

Maintains various databases, files, spreadsheets and logs, including but not necessarily limited to: nursing report sheet, call-out log, weekend call-out log, and bonus log.

Pulls daily staffing sheets from E-Star; prints and scans staffing sheets into Teams.

Performs other duties as assigned to support the unit, department, entity, and health organization.

Reports on daily staffing and/or safety concerns during bed huddle/safety calls.

Leads weekly weekend staffing needs meeting via Teams.

Provides guidance when inquiries are made, supporting Service Excellence.

Ensures that information is available and passed on from shift to shift as it pertains to staffing and hospital related topics.

Ongoing development of knowledge and skills via practice, observation, and attending competency assessments (in-person and/or virtually); attends all required in-services.

Promotes best practice by demonstrating a commitment to quality patient care and customer service.

Promotes innovation and creativity in the office environment.

Serves as a preceptor and mentor for new employees in the department.

Communicates support of organizational values and strategies.

Supports the following organizational programs: Magnet®, Hospital of Distinction, The Joint Commission, Disease Specific Certification, and Nursing Councils; and performs job duties in accordance with these standards.

Maintains office & other job-related equipment in working order. Uses office equipment appropriately and follows hospital & departmental policies for the use, cleaning and maintenance of equipment and supplies.

Performs assigned duties to maintain department in a state of survey readiness and maintain quality initiatives.

Adheres to hospital wide initiatives to support patient care such as maintaining a quiet environment, customer service, etc.

Performs duties in accordance with Penn Medicine and entity values, policies, and procedures

Other duties as assigned to support the unit, department, entity, and health system organization


H.S. Diploma/GED required.

Bachelor's Degree preferred


At least one year of recent work experience in an acute care setting; additional experience managing staffing and administrative duties in a high-volume healthcare environment preferred.

Licensure, Registrations, Certifications:

Current, unencumbered PA nursing license (RN or LPN) - RN strongly preferred.
