About the Executive Assistant Role:

As an Executive Assistant, you will provide business management planning & strategic support to the Vice President and senior management team based in Dublin, Ireland in the UHC E&I business. A key focus of the role is coordinating information flows between various departments and providing ongoing internal executive reporting and performance updates. This will ideally suit a positive, hard-working individual who is able to develop strong working relationships with stakeholders across the business and has a strong business acumen.

Primary Responsibilities of the Executive Assistant role:

  • Manages and resolves queries on behalf of the senior management team, diary / meetings management, handle work of a highly confidential and sensitive nature, prioritise incoming communications, email management as required
  • Coordinates key operational and strategic project communications with executives to drive decision-making, program management, and initiative implementation
  • Reviews, designs, and executes on improvements to business information including Monthly and Quarterly Business Reviews in partnership with Affordability, Network, Finance and other support functions
  • Provides high quality executive summaries to senior individual(s) including the organisation of presentations and the analysis and interpretation of information/data
  • Organises and gathers information from various departments and meetings and reports that information, along with recommendations, to executive members
  • Participates in strategic initiatives, and reporting results back to senior management and tracking risks, issues and timeline dependencies
  • Serve as liaison between staff, executives and senior leaders regarding company climate, employee well-being, project updates, proposals, and planning
  • Serve as a subject matter expert, handling inquiries and developing action plans to address them, and assisting with the preparation and dissemination of communications
  • Actively seeks to improve current processes and coordinate organizational procedures for optimized efficiency and productivity
  • Acts as deputy for senior management in scheduled meetings including hiring updates, travel and overhead cost management, Town Hall preparations and asks from other Chief of Staffs

Required Qualifications of the Executive Assistant role:

  • Integrity & discretion - handle highly confidential information with complete discretion at all times
  • Proven experience supporting business leaders / C-suite level management
  • Strong working knowledge and advanced skills in MS Outlook, Excel, Teams & PowerPoint are prerequisite
  • Experience supporting multiple leaders within a fast - pace large, matrix corporate environment
  • Must have a polished demeanour and be comfortable working with people at all levels, highly effective written and oral communication skills
  • Exemplary planning, time management and prioritisation skills, and possess excellent judgement and decision making abilities
  • Ability to manage multiple tasks/projects and deadlines simultaneously with attention to detail with a sense of urgency

Preferred Qualifications for the Executive Assistant Role:

  • Project management experience
  • Experience supporting individuals in multiple global locations virtually
  • Experience with data analysis
  • Experience with budget management
  • Consulting experience with a focus on operations management
  • Proven success in a project coordination role
  • Nimble business mind with a focus on developing creative solutions
  • Strong project reporting skills, with a focus on interdepartmental communication
