Works in collaboration and in continuous partnership with OCMG to support and monitor the ongoing efforts to provide high quality care for patients. Serves as a representative to patients, utilizing professional customer service skills. Works closely with physicians, managers and office staff in coordinating patient care. Maintains the strictest confidentiality and adheres to all HIPAA guidelines and regulations.

Primary Responsibilities:

  • Answers, screens, processes, and documents incoming calls efficiently and professionally
  • Effective use of both EPM and EHR system applications to manage patient inquiries and requests
  • Assists patients by determining needs, scheduling and/or canceling appointments, verifying insurance eligibility as needed and/or referring them to the correct staff person
  • Consistently use of standardized work protocols to provide efficient and effective productivity
  • Reviews and updates patient information as needed
  • Keeps updated on current provider schedules ensuring that patients are scheduled properly and notified of any schedule changes
  • Respond appropriately and timely to patient concerns and/or needs
  • Ensure effective communication with key external customers including providers, practice managers, and staff
  • Asks appropriate questions and uses independent judgement within scope of license
  • Appropriately facilitates and communicates, written or verbal messages
  • Responds appropriately to patient requests for prescription refills adhering to OCMG Protocol
  • Responds appropriately to patient requests regarding orders, referrals and/or results adhering to OCMG Protocols
  • Implement orders as directed by Provider and licensed care team member(s)
  • Ensure documentation is complete, accurate and timely: reflecting patients plan of care
  • Demonstrate continued development of clinical expertise, current knowledge of healthcare trends, and education related to clinical ambulatory practice
  • Ensures department productivity standards are met
  • Participates in a variety of department initiatives
  • Assist in training new employees and serve as a resource to them
  • Ensures all OSHA, HIPAA and other regulations are followed
  • Follows proper reporting protocols for any compliance or incident reporting
  • Other duties and responsibilities, not specifically described, maybe defined or assigned consistent with knowledge, skills and abilities of the incumbent by management

Required Qualifications:

  • High school diploma or GED equivalent
  • Certificate from a California State accredited school
  • Certification through a certifying organization, such as the American Association of Medical Assistants (AAMA)
  • Current Basic Life Support certification
  • 1+ years of MA experience; OR equivalent combination of education and experience
  • Experience must be in an acute care, ambulatory care, or primary care
  • Must hold and maintain a current/valid California driver’s license
  • Full COVID-19 vaccination is an essential job function of this role. Candidates located in states that mandate COVID-19 booster doses must also comply with those state requirements. Working Conditions:

  • Staff may be exposed to communicable diseases and appropriate safety precautions may be required
  • Subject to the hazards of radiation, women who become pregnant must report their condition promptly to practice manager
  • Work involves considerable sitting, standing, walking, bending, cleaning, organizing, and lifting on a daily basis
  • Local travel required, as well as possible extended travel
