Project Coordinator Primary Responsibilities:
The primary responsibilities of a Project Coordinator include working closely with the Head of Project Management and providing administrative and project coordination support for that Leader and a group of project managers.
The candidate will perform diverse administrative duties in support of governance committees and project teams, including heavy calendar management, meeting scheduling and coordination (internal and external), arranging video conferences as necessary for these various meetings; making travel arrangements (domestic and international), processing expense reports; completing independent project work and maintaining Share Point sites for various project teams. Must be detail-oriented, work with minimal supervision, and can multitask and balance priorities, utilizing strong organizational skills, initiative, and commitment to follow-up.
The candidate must be a positive, proactive team player who can build relationships across the administrative/project coordination group within Research & Development Strategy and Planning and across the organization. The candidate must be willing to coordinate and support other administrative assistants/project coordinators within the department.
Qualifications:
- High School Diploma or equivalent. College degree preferred.
- Minimum five years of administrative or related experience preferred.
- Strong written and verbal skills and the capability to produce excellent work with minimal supervision are required.
- Strong organizational skills, the ability to multitask, and attention to detail and follow-up skills are required for this position.
- Proven skills in prioritizing competing demands and requests by taking the initiative to adjust or change priorities and communicate issues to those providing support for.
- Adapting to change and remaining focused in a fast-paced environment is essential.
- Ability to interface professionally with high-level contacts, handle confidential information with discretion, and demonstrate diplomacy and sound judgment in dealing with sensitive situations.
- Ability to coordinate/provide backup support for other administrative/project coordinators within the department.
- Positive attitude, be proactive, and will have a high level of professional integrity.
- Proficiency in Microsoft applications such as Outlook, Word, Excel, and PowerPoint, as well as being able to learn & utilize current BMS systems for T&E reporting and other responsibilities.
- The successful candidate must be able to learn new tools and systems in an ever-evolving environment.
