Position Summary

Responsible for ensuring consistent application of governance over our relationship with service providers. Partner with Service Line Leads and BMS internal global and local Business Partners; Procurement, Sourcing, and Purchasing; Legal; Centers of Expertise; Finance; Treasury; Tax; Information Technology; and External Brokers and Vendors to maintain the vendor/customer relationship and serve as an escalation point for vendor management issues. Design, implement, and maintain a robust and consistent Change Control, Claims and Disputes Process.

The Vendor Management lead is also responsible for preparing projections and budgets, including expenses, recoveries, capital expenditures, etc.; partnering with the People Services (PS) Leadership team to develop budgets; and monitoring financial performance including identification of risk and opportunities.

Design and implement payment approaches for employees’ benefits polices in markets, leveraging best practices for BMS business events such as Acquisitions, Divestitures, Projects, and changes to vendors.

Key Responsibilities

  • Use established BMS vendor governance frameworks to determine the level of Governance required for each Vendor and partner with Service Line Leads to implement
  • Ensure consistency of vendor management across People Services
  • For vendors requiring intermediate or light governance:
    • Conduct Governance meetings for vendors
    • Create contract change management process
    • Produce contract change management reports
    • Creation of balanced relationship scorecard
    • Partner with Capability Center teas to conduct root cause analysis of service level failure
    • Identify needs for Recovery Plan and tracking of agreed upon corrective and preventative actions from the Plan
    • Report on progress
    • Partner with Service Management and Capability Center teams to conduct performance reviews
  • Perform risk assessment and work with business to develop a mitigation plan for risks associated with vendor relationships
  • Provide overall view of all vendor relationships including the health of the relationship
  • Coordinate with Service Line Leads to ensure necessary vendor diligence and evaluations are performed consistently. Serve as main point of contact to resolve and escalate queries/complaints around vendor management issues
  • Update policies and procedures as required for vendor management
  • Responsible to ensure PS engagement strategy is implemented consistently
  • Provide support for regular performance updates to HR
  • Prepare business cases for new initiatives and track delivery of benefits
  • Manage all annual HR Employee Benefits renewals with multiple external brokers in BMS Markets; changes to policies and/or new vendors; name changes to vendors; and internal project deliverables involving new or changes to existing vendors.
  • Provide project summary reports and budget outlines to PS Leadership team and Service Line Leads.
  • Prepare projections and monitor actual delivery, providing appropriate reports and analysis to PS leadership
  • Analyze operating results to determine the cause of deviations from the projection and suggest mitigating actions
  • Identify, investigate, and analyze financial operational improvement and make proposals for operations changes
  • Provide oversight to all PO processing to ensure consistency and alignment with established practices/processes

Qualifications & Experience

Minimum Requirement / Knowledge Desired:

  • Bachelor’s Degree
  • 5+ years of experience with vendor/relationship management, preferably with HR service providers
  • Proven ability to build alignment & strong partnerships
  • Ability to work virtually and in a matrix team
  • Excellent verbal and written communication skills
  • Strong organizational skills and the ability to manage complex issues.
  • Must be self-motivated with the ability to manage vendor and stakeholder relationships with little supervision.
  • Exceptional teamwork, collaboration & stakeholder management skills
  • Strong track record in establishing and driving operational excellence.
  • Ability to work effectively in a fast-paced environment and manage / prioritize multiple activities

Ideal Candidates Would Also Have:

  • Able to identify opportunities for change and navigate appropriate steps to effect change
  • Experience working with current BMS ARIBA, SAP, HR enabling systems: Workday, ServiceNow, Cisco telephony, ServiceNow
  • Experience in HR Operations & project management
  • A sharp eye for identifying weak points in processes and organizational structures.
  • A strategic and analytical mindset
  • Demonstrated ability to manage stakeholders at all levels of a highly matrixed organization and the ability to work across cross-functional, cross-organizational teams
  • Clear ability to effectively partner and collaborate with our internal and external partners and vendors to deliver the best solutions for the company
  • Demonstrated experience in the development and deployment of enterprise-wide initiatives and end-to-end processes in a global environment
  • Demonstrated ability to manage outsourced providers and contractors
  • Creative and innovative: is not afraid to suggest new ideas; someone who seeks out opportunities for continuous improvement.
