Position: Specialist, Budget Operations

Location: Princeton, New Jersey

Position Summary

Oversee a small team of contractor budget specialists within US Medical Affairs, spanning Hematology, Oncology, Immunology, and CV. This role will also include being an independent contributor (budget coordinator) to a subset of teams.

Key Responsibilities

  • Partner with the Medical Lead/stakeholders, Finance and Project Management to ensure budget execution (budget check-in mtgs/ad-hoc as needed as well as pre/post prep) with trusted follow-up/follow-through.

  • Understanding of the budget/projections cycles within the year.

  • Understanding of BMS compliance guidelines, SOPs regarding ARIBA, Decideware, Icertis, and SAP processes.

  • Identification and collection of required information to drive the routing process forward in a timely manner.

  • Maintain/track monthly budgets for each asset using a planned spend excel spreadsheet (pre/post budget check-ins).

  • Understanding of RPM to pull reports, create product plans, WBS elements, projection planning and fund transfers.

  • Partner with Global Procurement and shepherd documents through the system with diligent follow-up to ensure any issues are resolved in a timely manner.

  • Understanding of Ariba to route statements of work, amendments/change orders as well as the process flow for all documents entered into the system.

  • Share best practices on process improvements.

  • Ability to navigate through ambiguous situations towards a resolution.

  • Research and resolve invoicing discrepancies.

  • Source, manage, train, coach and develop talent within budget coordination.

Qualifications & Experience

  • 1-3 years of experience in pharmaceutical research, development, or commercialization.

  • SAP, RPM, Excel (formulas, pivot tables, etc.), additional MS Office skills required.

  • Analytical/finance background a plus.

  • Experience with matrix budget management.

  • Written and oral communication skills.

  • Ability to interact directly and productively with team members.

  • Ability to manage competing priorities is required.

  • Experience with building relationships and collaborating across divisions with people of diverse business backgrounds and cultures.

  • Organized and motivated individual with the ability to work independently/effectively.

  • Comfort with ambiguity.
