Job Description

Position Description:

Reporting into the Site Services Director, this position is expected to be aligned with multiple internal areas in our Company and with our Integrated Facilities Management (IFM) suppliers for Governance and Supplier Performance Management as well as working closely and in full alignment with Enterprise Company Commercial, Research and Manufacturing Sites and Real for the effectiveness and deliverables of the Integrated Facilities Management (IFM) and Cafeteria Services Programs.

The Associate Director will manage the Global Integrated Facilities Management (IFM) Strategic Supplier Council (SSC), relevant contracts, Supplier Performance across our Manufacturing Division and Global Workplace and Enterprise Services (GWES)sites

.

The candidate will be responsible for the following Governance activities:

  • Monitoring and ensuring compliance with contract terms for ~ $350MM spend with external IFM partners Globally and ensuring delivery of contract savings by partnering and guiding regional Company and IFM partner teams.

  • Working with sites and IFM partners to approve yearly budgets and for managing and approving changes to baselines using the change control process and working with sites and IFM partners to ensure budgetary alignment throughout the year.

  • Representing our Company in contract discussions and resolving escalated contract issues across Global Technical Sites.

  • Collaborating with Quality, EHS, sites and IFM partners to ensure compliance with EHS and GMP guidelines and procedures scorecard and KPI’s.

  • Ensuring monthly, quarterly, and yearly contract deliverables are met including service levels and Key Performance Indicators. Monitoring and reviewing these to ensure compliance, spot trends and address performance issues with IFM partners.

  • Partnering with the sites and IFM suppliers to identify and drive improvements.

  • Develops and completes an annual Audit and site visit program and is the lead auditee for internal corporate audits.

  • Collaborates with sites and IFM partners to deliver a transformation program to drive standardization of services across the account and sets multiyear objectives to achieve this goal.

  • Plans for the expansion of scope at new and existing sites and incorporating same into existing contract and governance structure. Reviews and approves country and site transition activities and companion agreements.

This role is also responsible for Global Category Management and sourcing leadership of Site Services, that is part of the overall CSS (Corporate & Site Services) Procurement through collaboration with multiple business partners as well as regional and/or local sourcing professionals in a matrix organization.

The candidate will work with a global team to support development and implementation of a sourcing strategy at the local level, leveraging a Supply Strategy Council (SSC) framework, while leading the implementation within the US market. In addition, the candidate will be responsible to establish and lead cross-functional teams through the sourcing process and to provide strategy oversight for regional and/or local components of the category.

Day-to-day responsibilities of this role includes:

  • establishing the category strategy,

  • performing sourcing events,

  • managing key metrics and analytics/BI and insights, including savings, supplier diversity and working capital to established objectives.

  • In addition, engaging with business stakeholders and aligning their business strategy with procurement objectives and global sourcing strategy.

In addition, this role is responsible and accountable for coordinating internal activities across three stakeholder groups:

  • With Procurement Colleagues: Participates/leads teams of global, regional & local representatives to develop and implement strategic sourcing plans as well as to ensure alignment on key initiatives and priorities for broader Site Service categories, inclusive of IFM and Cafeterias. Act as a member of the team willing to carry out the mission and ensure that input from all members is taken into account.

  • With Business Partners: Identifies and engages with critical stakeholders and partners to define and meet or exceed business requirements and identify and manage profit plan savings targets. Understands strategic business requirements at 1-3-5 year horizon. Acts as a trusted advisor to a wide range of business partners in the business organization with a keen ear for needs and wants, and the ability to influence and guide strategic decision making, but also the courage to appropriately challenge the status quo.

  • With Suppliers: Responsible for building relationships with Global and Enterprise wide suppliers and managing key supplier performance against business requirements using proven processes; ensures adequate inclusion of diversity suppliers in RFPs and contracts as applicable. Supports major Regional supplier relationships. Acts as a representative of the Corporation with a relentless drive to ensure our Company is maximizing Supplier’s core competencies, provides a fair opportunity for sustainable growth, and optimizes the spend.

Key activities:

Strategy Creation

Target: Definition and planning of high-level objectives targeted to long term results that will impact the way our Company views and purchases this category. This is the "big picture" creation and it entails active engagement with senior stakeholders as well as critical members of the business in the category during the Sourcing Excellence Process (SEP).

Typical Activities: Meetings with stakeholders to discuss SEP approach; participation in workshops and meetings during SEP; dialogue and meetings with Regional Procurement in connection with Target goals; participation in Market Intelligence activities; data gathering and analysis; others that contribute to fundamentally change or effect the status quo in pursuit of a long term competitive advantage to our Company..

Strategy Execution

Target: Implementation of tactical plans or projects directly linked to a strategy created during Sourcing.

Typical Activities: Development, rollout and execution of RFIs/RFPs and direct negotiations pursuant to supplier selection aligned with strategic goals; process re-engineering in cooperation with the business pursuant to modify or create processes in connection with strategic goals; dialogue and meetings with GP (Global Procurement) in connection with execution of strategic goals; others that are directly linked with execution of strategic goals.

Operations

Target: Drive ongoing procurement activities pursuant to transactions and projects not in connection with SEP or strategy creation/execution. This is the "keep the lights on" and it is normally driven by daily/weekly requests from the business and procurement.

Typical Activities: Contract review/negotiations; PO issue resolution; creation of new vendors; supplier issue resolution; technology/process execution; dialogues and meetings with GP in connection with supplier and stakeholder resolution; data gathering and analysis leading to short/medium term insights not in connection with SEP or strategy creation/execution; all transactions not in connection with SEP or strategy creation/execution which ensure continuity of the business function and sustainability of the procurement function.

Supplier Relationship Management

Target: Design, planning and implementation of actions and projects in connection with SEP or strategic goals pursuant to develop, improve, sustain, or reposition our Company's relationship with critical/strategic suppliers.

Typical Activities: Development/participation in supplier forums, market organizations and conferences; dialogues and meetings with business partners and suppliers in connection with Target; review, analysis and negotiation of contracts pursuant to Target; data gathering/analysis pursuant to generation of insights in connection with Target. Drive supplier performance management in the identification and collection of SLAs, and discussion with suppliers, in conjunction with stakeholders, of those SLAs and joint identification of continuous performance improvement.

Position Qualifications:

Education Minimum Requirement:

  • Bachelor’s Degree required. (Engineering, or related Discipline)

Required Experience and Skills:

  • A Minimum of 10 years Post Qualification experience in Engineering, Finance and or Procurement with Technical Site experience preferred (Manufacturing or similar)

  • Experience of working in a matrixed organization and managing direct and dotted line reports.

  • High degree of integrity and personal ethics required representing the company with external partners.

  • Experience of managing large budgets with strong financial acumen.

  • Resilient and focused, able to manage competing priorities.

  • Effective team player with collaborative focus.

  • Excellent interpersonal and communication skills (Oral and Written)

  • Fluent in English.

  • Experienced Negotiator with ability to interpret contract clauses and arbitrate on issues.

  • Strong Project Management skills.

  • A Strategic thinker and self starter.

  • Technical engineering expertise and ability to understand GMP and EHS risk and issues.

Preferred Experience and Skills:

  • MBA or similar post degree qualification

  • Green or Black Belt certified or willing to work towards achieving certification.
