Position Description:

This position will support the leadership team of Waste Management Services including efforts related to scheduling, expense management, project oversight and other key activities.

  • Must have the ability to work autonomously and support multiple leaders simultaneously who will have busy calendars.

  • Must be able to work well with teams and be an effective communicator.

In addition to the typical Administrative Associate skills (Word, Excel, Outlook, One Note, SAP and our Company's systems), the person must have great attention to detail and be a high-performer. Successful candidate will conduct all tasks while displaying our Company's leadership principles and will adhere at all times to our Company’s values, standards, and code of conduct.

The Administration Support person will remain customer focused in conducting all tasks and will contribute positively to department and divisional financial goals. He/she will approach tasks and requests with innovation and operational excellence goals in mind and will practice excellent relationship management and partnering skills. The successful candidate will support and practice all department, divisional, and corporate quality and compliance requirements.

The primary activities include and are not limited to the following:

  • General Secretarial/Clerical duties constitute approximately 50% of job responsibilities.

  • Work requires the coordination and performance of multiple tasks while understanding the project principles and technical skills related to own work assignments.

  • Produces/completes various work assignments requiring independent judgment, creativity, problem solving skills and some analytical ability.

  • Develops reports, presentations, tables, graphs, and correspondence.

  • Works in teams or independently as needed and as relevant to complete work assignments and various tasks.

  • Calendar scheduling/planning; coordinating and scheduling interviews and travel arrangements.

  • Communication skills must be at a level to effectively interact with all levels in the organization and external to the organization to maintain workflow.

  • Coordinates special projects.

  • Tracks department training status.

  • Prepare expense reports, purchase orders and payment requests in COMET – ensuring compliance to our company guidelines

  • Supports the use of Team Sites.

  • Tracks department spending in SAP.

  • Provides security access to visitors.

  • Manages Travel Arrangements and Expense Reports

Position Qualifications:

Education Minimum Requirement:

  • High School Diploma

Required Experience and Skills:

  • Minimum of (3) years Administrative Assistant experience

  • Minimum of (2) years Administrative Assistant experience supporting Directors/Executives

  • Advanced computer skills using MS Office Suite (Outlook, Word, Excel, Power Point etc.) and operation of other peripheral devices

Preferred Experience and Skills:

  • SAP experience: Expense Reports and Purchase Orders

  • Basic Book Keeping

  • Advanced education or certifications such as (e.g. Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification)
