What you will do:

You will provide high level administrative support analytical and specialized support to the Senior Director, Marketing and Sales Enablement, requiring a good understanding of technical and business vocabulary and knowledge of the organization's operations, procedures, and people.

  • Monitor, review, and approve standard expenditures to ensure the activities of the department are conducted within established budgets.
  • Process invoices and department expenses for approval; track and reconcile to departmental budget
  • Process expense reports, as requested
  • Schedule meetings, secure facilities/equipment and prepare meeting materials both on and offsite
  • Respond in a timely manner to routine departmental questions and respond to general internal/external customer requests
  • Build effective working partnership with members of the team, as well as, across teams in the Business Unit and company
  • Coach other Admin Support team members on skills and processes, such as work in Excel and PowerPoint
  • You will be empowered to create meaningful events, drive the rhythm of the business, and help build engagement across our site.
  • Provide administrative support requiring a good understanding of technical and business vocabulary and knowledge of the organization's operations, procedures, and people.
  • Gather, compile, verify and analyze information for use in documents such as memos, letters, reports, speeches, presentations, and news releases.
  • Ensure communications are in alignment with company mission and values, strategy, and brand.
  • Assist with leadership presentation design and content support for presentations, videos, and newsletters.
  • Update and maintain calendars, events, and distribution lists.
  • Proofread work to ensure accuracy and no errors.
  • Lead special projects and perform other duties as required.
  • Generate, route and file required documents according to proscribed schedules and processes
  • Present general departmental information in small meetings, where applicable
  • Plan and coordinate travel for office team members, where applicable
  • Manage department orders for office supplies, as well as, inventory of promotional items and giveaways as needed

What you need

  • High School Diploma required. Associate's or bachelor's degree preferred.
  • 3+ year experience in an administrative position, with experience preferred in corporate environment and the specific department to be supported
  • Prefer training in Access or other complex data management programs/system.
  • Fluency in Spanish a plus
  • Strong proficiency using Microsoft Office Suite technology, including complex document creation, spreadsheet creation and presentation creation. Demonstrated proficiency in Outlook e-mail and calendaring system.
  • Prefer demonstrated proficiency in departmental system navigation and report writing, where applicable.
  • Detail-oriented
  • Ability to provide rapid, accurate response to confidential/sensitive requests and to handle confidential information
  • Ability to prioritize multiple simultaneous deliverables and work in a demanding environment
  • Demonstrated interpersonal, oral and written communication skills, with both internal and also cross-functional teams
  • Ability to support and dedication to work in an environment that values customer service
  • Provide the full spectrum of administrative support to one or more departments/functions.
  • Ability to work independently and take an active team player role
  • Willingness and ability to lead projects with cross-functional teams and the Business Unit
