Job Description

This position will support our company's Boston and Cambridge sites.

In this role, you will have multiple responsibilities in a fast-paced environment. Responsibilities will include general HR support serving as the front-line point of contact for the HR department, new hire onboarding & orientation coordination, site transportation coordination, and general HR team administrative support, such as calendaring and expense management.

To succeed, you will need a flexible skill set, including the ability to execute tactically and collaborate across many teams, levels, and situations. Success in this role will also require influential partnership with associates, managers, and senior management within the organization to execute the HR strategies that foster organizational and people effectiveness.

The individual selected must have the ability to prioritize and complete deliverables across various stakeholders, have strong verbal and written communication skills, ability to work both independently and collaboratively, be comfortable with multi-tasking on diverse responsibilities, be flexible, and able to work in a fast paced, deadline-driven environment.

This position requires a high degree of professionalism and confidentiality due to sensitive natures and policy requirements for Human Resources data.

Key Responsibilities:

  • Assist with the day-to-day operations of HR functions and duties and troubleshoot issues as they arise

  • Function as initial point of contact for employees with general questions related to Human Resources (for example: disability, benefits, , LOA, FMLA, educational assistance, open enrollment, etc.)

  • Administer our Research Division's Boston/Cambridge Transportation program, distribute and track parking and public transportation passes; Work with payroll to ensure appropriate deductions are taken; Main point of contact for vendor

  • Oversee onboarding; Schedule and facilitate New Hire Orientation Sessions, prepare all materials, ensure I-9/E-Verify Compliance

  • Working with hiring manager and New Employee Administration to ensure computer and software are ordered and an office is assigned, ensuring network access and all other first-day requirements are met

  • Oversee local Internship/Co-Op program and orientation; partner with managers and local groups to help provide a positive and successful program

  • Coordinates local site Benefits

  • Calendar management, including appointments, meetings, conferences, and travel arrangements

  • Preparing, processing, and reconciling expense reports, purchase orders, and payment requests, as needed. Leading the work of tracking budgets and costs

  • Works with other functions to create, maintain and update HR and policy related content on Intranet Site

Skills/Competencies:

  • Work under pressure and handle multiple tasks, as well as demonstrating accuracy, initiative, flexibility, tact, and good judgment

  • Must maintain a high level of confidentiality and discretion

  • Being an enthusiastic team player with a strong drive to create a positive work environment

  • The ability to be comfortable with high volume workload and to "roll up your sleeves" to get things done

  • Strong attention to detail

  • Excellent written and verbal communication skills

  • Must be comfortable interacting with people at all levels, including Senior level management within biotech, pharmaceutical, and academic communities

  • Proven ability to demonstrate and foster collaboration among peers and extended HR organization

  • Experience navigating and leverage HR systems to gather data to support client consultation

  • Assertive, self-starter and independent quick thinker

  • Effective problem solving through investigation and solution identification

Required:

Experience

  • Minimum 5 years of relevant experience required. Candidates should have a proven track record in the Administrative and/or Human Resources functions

  • Proficiency with MS Office (Outlook, Word, PowerPoint, Excel)

  • Experience with Workday a plus

Education

  • Required: High School Diploma or equivalent

  • Preferred: Advanced education or certifications (e.g. Associate’s Degree, Certified Administrative Professional, Project Management Professional Certification)
