Position Summary:
This position is part of the People Services (PS) Global Benefits Service Line team and has
responsibility for driving operational excellence, and managing service delivery, the BMS PS vendor
strategy, process design, execution and administration of the global benefits and retirement
programs across ~40 markets. This role is also responsible for managing the day-to-day operational
activities within the global offerings for benefits and retirement and specific work-life programs.
Operational responsibilities include, but are not limited to, project management, tracking and
monitoring vendor budgets and spend, monitoring and managing third party vendor performance
and SLAs, supporting audits and completing these where necessary, performing data and reporting
analysis, managing the governance for access requests to third party systems, solutioning for and
responding to inquiries and escalations from PS Tier 2,.and strategically identifying process
improvement opportunities to enhance customer experience, self-service access and improving data
quality.
This role will partner closely with the Total Rewards Center of Expertise (COE) and People Services
Capability Center teams including Payroll, HRIT and Third-Party Vendors. The role ensures translation
of the COE-led design of the Total Rewards strategy and international benefits programs into
deployment strategies and implementation plans inclusive of providing change management, system
requirements, vendor requirements and documentation, and guidance and project management
support to the regional capability center teams who are responsible for execution of the plan
implementations, processes, and procedures.
Detailed Position Responsibilities:
Subject Matter Expert on international benefits, savings and retirement plans’ systems,
operations, and regulatory environments
• Lead cross-functional projects, including but not limited to M&A related benefits harmonization
efforts
• In coordination with People Services, Total Rewards COE, and third-party benefit administrator,
manage and oversee the enrolment windows for 40 markets, ensuring timely delivery, and
successful integration with payroll, vendors and other systems involved.
• Support the management and coordination of global benefits operations including planning of
annual enrolments and renewals in collaboration with third party vendors; project managing and
supporting the regional Total Rewards Operations teams in preparation and launch of
enrolments and renewals; collaborating with TR COE and brokers to ensure program and policy
design is provided on time to enable implementation
• Provide insights to stakeholders on global/regional issues and trends with an eye for continuous
improvement opportunities; monitors effectiveness of benefits and recognition plan processes
and uses data to recommend modifications to continuously improve these processes, reduce
costs and improve efficiency & client satisfaction
• Review, evaluate and analyze data that is discovered from various sources to understand
relevance to specific processes within benefits and retirement programs; leverage best practice
processes and existing integrations to minimize rework and maximize efficiencies
• Business process owner for global benefits operations o Develops operational guidelines that
drive operational excellence and standardization of end-to-end processes including provider and
vendor reporting.
o Participates in the development and maintenance of the operational design for end-to-end
employee life cycle processes and ensures creation and maintenance of operational
procedure documentation; Develop and deploy best practices regarding benefits and
retirement operations and service support
Works closely with the compliance and business controls teams to ensure robust controls are
embedded in each process; supports the implementation and adherence to SOX controls and
compliance; audit activities as needed; ensures compliance for all operational plan documents and
statutory requirements related to benefits and retirement plans and programs; participates in the
Global Pension Committee meetings hosted by the TR COE and ensures timely reporting and
remediation on international market pension plan issues that may arise
• Manages day-to-day vendor and third-party relationships to enable service delivery excellence in
benefits and retirement administration and addresses contractual and operational issues with third party benefits administration partners
•Reviews and manages third-party vendor partners’ adherence to contracted services and
Service Level Agreements through the defined vendor management governance; ensures
vendor tracking of incidents and maintains log of root causes, analyse data and in
collaboration with vendor draw solutions for future mitigation, escalating as appropriate o
tracks and monitors vendor budgets, prepares forecasts to plan annual spend and quarterly
spend reports, and ensures timely invoice payments
• Liaises with third party vendor partners, People Services, BMS HR IT and Total Rewards groups on
operational strategies and systems issues, as applicable
• Develops functional requirements for benefits and retirement plan integrations (files) between
HRIS, payroll system, benefits, and retirement administration platforms to support data accuracy
and compliance; expertly navigates the third-party vendor partners’ systems and their reporting
capability
• Supports change management, develops and delivers ongoing learning/development of functional
expertise of the extended People Services teams
• Acts as escalation point for Tier 2 queries and vendor-related issues; maintains knowledge capital
for global benefits processes, and collaborates to remove roadblocks for smooth operations
• Owner of GBA SharePoint and other potential benefits admin shared drives and SharePoint sites,
ensure documentation is up-to-date, Shares responsibility, as needed, for the US 401(k)/ BEP and
for the Global Benefits, Retirement programs
Experience Desired:
•BS, BA or graduate degree in business or a related degree required and 3+ years’ experience in
human resources service delivery, within operational / administrative areas in a shared service
environment
• Five to seven years of experience administering benefits and retirement plans with knowledge
and experience in benefits for international markets
• Demonstrated strong functional knowledge of benefits operations
• Strong working knowledge and understanding of SOX controls for PII data and the GDPR
regulations
• The ability to work independently yet collaboratively across cross-functional, crossorganizational
teams to align with organization objectives, strategy and effectively communicate ideas and
influence others, including stakeholders at all levels in a highly matrixed organization to ensure
People Services objectives are supported and successfully delivered
• Experience in working with outsourced third-party vendor partners
• Demonstrated strong analytical abilities, attention to detail and the ability to identify and solve
complex problems and challenges; successfully manage deadlines for projects and multiple
competing tasks and priorities
• Experience with leverage of data integrations to minimize rework and maximize integration
process efficiencies and a proven track record of analyzing and processing large volumes of
information with high complexity
• Strong written and verbal communication skills
• Broad human resources process knowledge
• Proficiency with Microsoft Office products (Outlook, Excel, PowerPoint) is required
• Strong track record in establishing and driving operational excellence and ensuring appropriate
steps to effect change
• Strong consultative and customer services skills, using excellent communication skills while
demonstrating an enterprise mindset; Experience in coaching others to help build capabilities or
enhance functional depth
• Acts with a sense of urgency and drive issues through to completion coupled with the ability to
work effectively in a fast-paced environment and manage /prioritize multiple activities
• Proven experience exercising independent judgement and discretion utilizing company policies
and principles, knowing when to escalate
Ideal Candidates Would Also Have:
• HR and/or Rewards qualification – GRS, CHRP, CIPD or equivalent
• Experience working with current BMS HR enabling systems: Workday, ServiceNow and Darwin,
WorkHuman and other applications such as Visio
• Experience working in a global, virtual environment
