Position Summary:
The primary focus of this role will be to provide executive administrative and organizational support to the IT for Enabling Functions Leadership team members in Nassau Park and Lawrenceville, NJ.
The Executive Associate (EA) is expected to perform their duties with a high degree of independence while exercising expert judgement to address matters on behalf of the team. This level of performance includes, but is not limited to the following:
Thinking and acting proactively on behalf of the executive to ensure the smooth running of their day to-day activities and calendars as well as the overall functioning of the group
The ability to think ahead and anticipate and resolve problems before they occur
The ability to resolve issues independently and proactively,
Represent the executive and their teams internally and externally with a high degree of professionalism
Have the ability to multi-task and as such be able to prioritize highly diverse, time sensitive and often complex projects, activities, and tasks with minimal supervision.
Must be highly proficient in MS Teams, SharePoint, and other BMS systems (T&E, Workday, myBMS, Ariba, SAP) including MS Office.
Key Responsibilities (include, but are not limited to):
Perform diverse administrative duties, which by nature of the position involve high-level contacts and exposure to sensitive information necessitating the considerable use of confidentiality, tact, diplomacy, discretion, and judgment.
Work directly with the IT for Enabling Functions Leadership Team (LT) and extended team members as warranted.
Proactively maintain calendar; looking ahead at schedules, events, and needs of manager/team, anticipate conflicts, problems, and issues, able to work in multiple time zones and take appropriate steps to produce desired outcomes with minimum assistance from manager.
Acts as the backup business process owner of Leadership Team members MS Team sites and supports vendor-facing activities. Manages and updates access, content, communication, and administrative changes to the Share Point system as needed.
Support staff and department meetings and assist in administrative management of the meetings; this includes arranging and establishing conference connections, support in preparing agendas when needed, and collection and distribution of pre-reads, generating meeting summaries and appropriate archiving of information as warranted.
Schedule internal and external meetings, arrange travel including international aligned with corporate guidelines, proactively review, and refine travel arrangements.
Support staff onboarding activities, including new hire systems set up and ‘welcome’ activities.
Prioritize activities and act based on an understanding of department objectives, customer needs, and BMS business strategy. Handle matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
Collaborates with and supports other IT for Enabling Functions team members and partners with the ITLT Executive Admin team.
Demonstrates and inspires confidence and trust of others and maintains the highest standards of personal integrity.
Acts in the best interest of the business and seeks feedback to improve performance.
Back-Up to Executive Associate supporting Vice President of IT Enabling Functions.
Assist with ordering IT office supplies, ensure office supply drawer is organized and stocked; place purchase orders and facilities work orders, etc.
Qualifications & Experience:
5+ years of Executive Administrative experience.
Must be able to handle multiple projects, prioritize competing demands and requests by taking initiative to adjust or change priorities and must be able to work independently and support multiple LT members.
Ability to work effectively under pressure to meet deadlines.
Excellent organizational, record keeping and communication skills (oral and written) including ability to draft correspondence upon request of manager.
Proficiency with Microsoft Office Suite, Outlook, Calendar, SAP, SharePoint and working experience with Concur, Ariba/SAP, is strongly desired.
Successful candidate must be able to learn new tools and systems in an ever-evolving environment.
Must be comfortable working with new tools and technologies including internet web-based and digital communications tools
A strong work ethic to generate high quality work under tight deadlines.
Possess a high level of energy, strong work ethic, resourcefulness, and flexibility.
Ability to anticipate and be proactive is critical.
Experience working within the biotechnology or life sciences sector desire
