The Americas Projects team handles an annual volume in the range of 100 real estate projects on an ongoing basis. These projects include but are not limited to relocations, renovations, downsizings, lease renewal, site closures, new construction, and leasing and subleasing activity. The candidate should have a working knowledge of real estate, strong Excel and PowerPoint skills, positive communication skills and the ability to manage multiple and sometimes conflicting, priorities.**Summary Description of Responsibilities:**Provide analysis and execution support to the Real Estate Projects team throughout the Americas regions (US, Canada and Latin America). Deliver recurring analytic performance and resource reporting. Build financial analysis using our templates that will drive decisions within the project team. Liaise with key vendors and internal partners to manage process and document compliance and schedule adherence. Act as a scalable resource to Project Managers (PMs) during peak activities such as mergers and acquisition consolidations. Support Projects Team in administrative processes such as templates and website maintenance, event planning and logistics, and presentations. In addition to project support, the candidate will manage certain projects from inception to completion.**Analytical / Tactical Tasks:**1. **Recurring process management: (30%)**1. Facility Usage and Project Database comparisons monthly analysis to ensure consistency between these two tracking tools and to identify gaps where the Sr. Director needs to take action.2. Track and report on alerts sent out by the Lease Administration system.3. Coordinate and moderate annual review meetings for approximately four to seven preferred national vendors. Review GPP and make online projects updates reflecting actions.4. Ensure that Oracles broker has received the Oracle-signed engagement letter authorizing the broker to work on a particular transaction with the PMs. In each of the nine countries in Latin America, work with local FMs to coordinate the signatory of these engagement letters by the authorized in-country signatories.5. Support PMs in managing the closeout of space vacated by Oracle due to lease termination or sublease.6. Support PMs in the coordination of signage required for projects and managing the external resource to ensure adherence to standards and schedule.1. **Financial management and reporting: (30%)**1. As requested by the Sr. Director of Real Estate, provide real estate financial data from various sources order to drive decisions for deals or portfolio support.2. Provide monthly analytics report tracking: information pulled from the GPP database such as project volume, dollar value, metrics on number of transactions by type such as lease, sublease, disposition, renovation, geographic and team distribution of workload, project timeline start to close, etc.3. Oversee completion of requirements per project close-out; assist PMs in preparing tenant improvement allowance requests to landlords.4. Provide feedback to Portfolio Administration and Finance regarding space on the market, vacated space or space booked to the reserves. This includes broker sublease projections; failure to project such reporting can impact Oracles P&L.5. Liaise with external economic development consultants and internal Tax and HR departments regarding incentives to include contract review, document execution and incentive payments.6. Track incentive-reporting requirements and prepare submittals required compliance responsibilities under a number of contracts.7. Assist PMs with project business justification and approval presentations.1. **Periodic support: (10%)**1. Provide information for internal operations reviews or to support internal audit inquiries, tax investigations and asset transfers.2. Support team in logistics of Annual Project Manager meeting site to include site preparations, materials prep, travel and accommodation commitments.1. **Project Management Responsibilities: (20%)**1. Provide project related support to PMs such as estimate comparisons, material tracking and schedule updates.2. Manage components of larger projects on behalf of the PM such as Audio-Visual procurement and installation, tracking of procurement and contract activities, creation of project data sharing methods, and meeting minutes. Review and evaluate project drawings for critical items related to project success.3. Designs, develops and project manages future facilities needs.As a lease administrator you will be responsible for the day to day administration of Oracle's lease and sublease contracts. This involves the maintenance of lease data, payment of rent and operating expenses, and the implementation of new leases associated with M & A activities. Conducts audits of payments against lease provisions to ensure SOX compliance and expense control.
