Transdev Corporate Receptionist / Administrative Assistant in Lombard, Illinois
Communicates clearly and professionally with individuals calling a Transdev office and direct calls to the appropriate party. Provide support to a group of executives or a functional team including complex administrative duties and record-keeping under general supervision.
Screens and routes telephone calls using a multi-line system; communicates with other offices, vendors, clients, and other contacts as directed.
Serve as a point of contact in receiving corporate and/or VIP visitors.
Coordinates mailroom and assures that all functions are operational and accurate.
Order and restock supplies as required.
Accurately process expense reports for several VP’s in a timely manner.
Preparation of regular reports, and assisting with the creation of presentations.
Plans and schedules meetings and appointments with employees and external contacts.
Use a personal computer and standard software to draft, prepare, revise, and polish documents .(reports, graphic and powerpoint presentations, spreadsheets, internal/external correspondence, merge documents, tables, payment requests, expense reports, organization charts, etc.)
Handle routine administrative tasks in managing office operations, work with the building facility management/landlord, sort and distribute mail, order office supplies, interact with vendors, and run routine errands.
Ensure kitchen areas, refrigerators, and other common areas are clean and maintained.
Maintains confidentiality of all information.
Other duties as required.
Education, Licensing, and Certifications Preferred:
- High School Diploma or equivalent, such as GED, required. Associates degree or administrative assistant certification or other related business or administrative field is highly preferred.
Experience, Skills, and Knowledge Required:
At least 2 years general office experience required.
Basic knowledge of all office equipment.
Intermediate knowledge of Microsoft Office, including Outlook.
Ability to understand and follow written or verbal instructions.
Good telephone manner.
Ability to organize and prioritize tasks, manage time, and work without constant supervision.
Good interpersonal skills.
Ability to communicate well via the written word or verbally.
Ability to maintain a flexible attitude and approach to assignments.
Travel requirement (as a percent): <5% for occasional meetings.
Drug testing and background check.
Testing related to job requirements.
Must be able to work shifts or flexible work schedules as needed.
100% of work is accomplished indoors and in air-conditioned or well-ventilated facilities.
Ability to lift to 30lbs.
Work is accomplished in an office or in a cubicle space equipped with a telephone and computer.
The employee is generally subjected to long periods spent sitting, typing, or looking at a computer screen.
