Overview:

The Executive Administrative Assistant (EA) provides executive support to the SVP Clinical Services and serves as the primary point of contact for the Clinical organization.

Essential Job Functions:

  • Plans, coordinates calendar of appointments for SVP Clinical Services and ensures schedule is followed and respected

  • Completes assigned reports accurately in a timely manner

  • Composes and prepares correspondence, which may be confidential and contain Protected Health Information

  • Accurately arranges complex and detailed travel plans, itineraries, and agendas, including compiling documents for travel-related meetings

  • Prepares significant documentation and procedural manuals for all branch offices

  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the SVP Clinical Services including those of a sensitive or confidential nature; Determines appropriate course of action, referral, or response

  • Manages a variety of special projects for the President and SVP Clinical Services

  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the SVP Clinical Services’ ability to effectively lead the company

  • Assists in coordinating the agenda of senior management team meetings and off-sites, and all staff meetings

  • Manages Supply accounts for all branch offices

  • Oversees equipment distribution to branch offices, as needed

  • Updates all clinical forms and maintains them on the shared drive

  • Monitors licensure compliance of field clinicians to ensure regulator adherence

  • Other duties as assigned

Skills, Abilities, and Experience:

  • At least 1 year of experience in an administrative support role

  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail while still meeting deadline pressures

  • Ability to be adaptable to various competing demands and still accomplish goals

  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, and external partners

  • Expert level written and verbal communication skills

  • Demonstrated proactive approaches to problem-solving with strong decision-making capability

  • Emotional maturity

  • Highly resourceful team-player, with the ability to also be extremely effective independently

  • Proven ability to handle confidential information with discretion

  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment

  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and other healthcare related software programs and interfaces

  • Demonstrate the highest level of customer/client service and response

  • Must be able to read, write, and speak English fluently

Education, Professional License, or Certification Requirements

  • Current State LVN (Licensed Vocational Nurse)

  • High School Diploma
