Hilton Senior Manager, Project Procurement in McLean, Virginia

As the Senior Manager of Project Procurement, you will be responsible for the planning, organizing, directing, and executing, as well as for the budget management and timely completion of all Hilton Supply Management (HSM) Projects involving property expansions, renovations, and newly constructed FF&E and OS&E project installations. The Senior Manager of Project Procurement will also be responsible for the supervision and management of multiple Project Supply Managers and Project Coordinators that oversee a minimum of forty (40) projects simultaneously, with a minimum combined budgetary value of $40 million. In this role, you will manage a minimum of seven (7) projects concurrently, with a combined budgetary management visibility of at least $7 million.

What will I be doing?

As the Senior Manager of Project Procurement, you will serve in a leadership capacity as the liaison and single point of contact among internal and external resources, key stakeholders and suppliers. The Senior Manager of Project Procurement will have the overall management responsibility for the execution of all FF&E and OS&E projects within the Team, ensuring that each project is completed on time and within the contracted budget.

As a Team Member in this role, your key priorities are:

Customer Engagement and Lead Generation –

  • Researching and helping to identify business opportunities for the Project Development and Logistics department and reporting findings and conclusions to Upper Management
  • Fostering and growing relationships with the Brand, the property, Hilton GDS, Architecture and Construction, the Interior Designer, multiple Suppliers, Project Development, and Strategic Sourcing
  • Serving as the single point of contact and having the responsibility for maintaining quality partnerships with the Brands, the properties, Hilton GDS, Architecture and Construction, the Interior Designer, multiple suppliers, Project Development, and Strategic Sourcing
  • Coordinating, conducting and participating in meetings with internal and external departments, key stakeholders, and suppliers to develop project timelines and installation strategies
  • Assisting customers with filing damaged or lost product freight claim
  • Leveraging effective partnerships with suppliers

Internal Collaboration –

  • Traveling to property and/or supplier sites
  • Communicating all information in a timely manner to internal departments, external customers and suppliers
  • Encouraging collaboration through leadership
  • Providing tactical assistance to the Senior Director and/or Director with daily, monthly, quarterly and yearly Department objectives
  • Fostering an environment that supports and encourages personal and professional growth by providing individualized continuous training and development for Managers and Coordinators
  • Addressing and proactively resolving any personnel issues
  • Overseeing team training and reviewing output, including accuracy between interior design specifications and entry into Supply Management’s proprietary project management software application (SMPS)
  • Overseeing cross-functional Project Teams’ work with the Brand, the property, Hilton GDS, Architecture and Construction, the Interior Designer, multiple Suppliers, Project Development, and Strategic Sourcing to formulate and implement improved processes and procedures for overall enhancement in the Supply Chain
  • Assisting the Senior Director and/or the Director on the recruiting, selecting, hiring, training and developing of Team Members
  • Leading multiple Project Supply Managers and Project Coordinators
  • Implementing and managing departmental processes and procedures to ensure that the strategies and directives of the Department are carried out and are in accordance with Department and Hilton objectives, including Success Factors

Execution –

  • Facilitating the execution and approval process for all supplier purchase orders
  • Ensuring that the overall execution of each FF&E and OS&E project is completed on-time and within the contracted budget
  • Executing Department annual assessments to review Team Member goal accomplishments

Performance Management –

  • Evaluating and streamlining business processes to maximize efficiency and effectiveness within the Department
  • Working with direct reports to help set goals to assist in accomplishing Department initiatives
  • Providing direction and directives to the departmental Team Members in the performance of their duties, establishing work priorities and achieving management objectives
  • Informing Upper Management of the Department’s progress and advising them on key issues to help with the decision making process
  • Assessing actual performance against standards to determine whether the Department is on target to reach goals and taking corrective actions as necessary
  • Ensuring the business plan is being followed and goals are being achieved and providing feedback accordingly

Project Management –

  • Ensuring that the overall execution of all FF&E projects are completed on-time and within the contracted budget
  • Establishing priorities and delegating work to Team Members accordingly, while ensuring optimal allocation of resources
  • Disseminating, organizing and communicating regarding assignments and projects within the Department and Project Team
  • Preparing project status reports, in accordance with our Department policies and procedures
  • Planning, organizing, directing and executing budget management and timely completion for project installation
  • Overseeing cross functional teams and communications related to project timelines
  • Overseeing proper controls to ensure that project benchmarks are met
  • Researching and resolving any project related discrepancies and disputes
  • Managing the reconciliation of the project in accordance with Department policies and procedures
  • Conducting resource allocation reviews to ensure maximum work efficiencies within the Team and that project and departmental deadlines are met and are within budget

Compliance –

  • Operating within established budgetary parameters
  • Ensuring design specifications meet Brand standard compliance
  • Enforcing policies and procedures that will improve the overall operation and effectiveness of the Department and Hilton

What are we looking for?

To fulfill this role successfully, you must possess the following minimum qualifications and experience:

  • Minimum Education: BA/BS Bachelor’s Degree
  • Minimum Years of Experience: Five (5) years in Hospitality Procurement and/or Project Supply Management

OR

  • Minimum Education: Associate’s Degree
  • Minimum Years of Experience: Seven (7) years in Hospitality Procurement and/or Project Supply Management

PLUS

  • Minimum Years of Experience: Five (5) years of Project procurement ERP systems experience
  • Minimum Years of Experience: Two (2) years of managerial experience
  • Additional Requirements (i.e. % of travel time, etc.):

  • Microsoft Office Suite proficiency

  • Experience writing formulas, creating spreadsheets, and manipulating data in Microsoft Excel
  • Experience with and/or familiarity with pre-construction and/or kickoff meetings (preparation, participation, etc.)
  • Travel as required
  • Strong project management skills

It would be advantageous in this position for you to demonstrate the following capabilities and distinctions:

  • Education: MS/MA Master’s Degree in Business Administration
  • Minimum Years of Experience: Seven (7) years in Hospitality Procurement and Project Supply Management
  • Minimum Years of Experience: Four (4) years of managerial experience
  • Willingness to achieve CPSM (Certified Professional in Supply Management) or other supply management certifications during the course of employment
