CBRE Meeting & Events Supervisor in New York, New York

RESPONSIBILITIES This position is responsible for overseeing the meeting & events team at an office. Coordinates all amenities and accommodations including site selection, food, transportation, and audio visual equipment. Monitors and controls event budgets and prepare periodic reports on cost. Manages event staff.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Supervises personnel assigned to meeting, events & conference services including establishing work schedules,assigning tasks, cross-training staff to perform shipping/receiving duties as back-up, and evaluating anddeveloping performance. Oversees the operations of the event from start to finish according to requirements, comes up with suggestions to enhance the event's success; prepares budgets and ensure adherence to client requestsLeads promotional activities for the eventApproves all aspects before the day of the event; Ensures event is completed smoothly and step up to resolve any problems that might occurAllocates resources to maximize efficiencies and meet client needs Determine and prioritize staff workload and be prepared to make proactive decisions to meet daily business demandsGenerates reports to measure productivity and perform analysis. Assists with ad hoc reporting requests.Performs other duties as assigned.

SUPERVISORY RESPONSIBILITIES

Provides formal supervision to individual employees within single functional or operational area. Recommends staff recruitment, selection, promotion, advancement, corrective action and termination. Plans and monitors appropriate staffing levels and utilization of labor, including overtime. Prepares and delivers performance appraisal for staff. Mentors and coaches team members to further develop competencies. Leads by example and models behaviors that are consistent with the company's values.

EDUCATION and EXPERIENCE

HS Diploma or GED required. Prior event coordination, customer service or other hospitality experience preferred. Minimum of 4 years of meeting and event planning required. BS/BA Degree and supervisory experience preferred. Experience in corporate or conference center management preferred.

OTHER SKILLS and ABILITIES

Intermediate skills with Microsoft Office Suite products such as Word, Excel, PowerPoint, Visio, SharePoint, OneNote, Outlook, etc. Comfortable with and embracing of new technologies and digital tools; such as Apps, databases, financial management, work order management, social networking, cloud technologies, handheld mobile technologies and applications, and communications.. Ability to work in multiple software platforms and learn and retain technical software applications quickly. Good organizational skills. Must work well under pressure with multiple deadlines, and demonstrate a proactive approach to routine and non-routine occurrences. Ability to work flexible work schedules based on business need. May need to be physically able to lift and move 30-40 boxes and operate a two-wheel dolly. Physical ability to assist with document services operations. Able to lift 50 lbs.Ability to lead and motivate others and to perform associated paperwork. Strong problem-solving skills. Highly adaptable and flexible.Ability to work independently with little supervision.
