    POSITION SUMMARY: Provides primary clerical support to assigned Executive/Department Head. Coordinates all activities of the Department and maintains a professional and organized office by demonstrating strong organizational skills.

  • Maintains confidentiality, security and integrity of patient, department and organizational data.

  • Complies with all Hospital and department policies regarding documentation requirements.

  • Performs clerical duties including typing, photocopying, faxing, in-coming and out-going correspondence, phone calls and receiving guests, visitors and customers.

  • Develops and maintains daily, weekly, monthly and annual calendar for Executive/Department Director planning purposes.

  • Maintains a schedule of all events to occur in the designated meeting rooms. Coordinates all planned events to assure that room is available and communicates this information to person planning event.

  • Coordinates planned events with Food and Nutritional Services and Education Department for meals, refreshments and audio visual equipment needs. Complete necessary requisition forms and maintains file for reference.

  • Maintains file for travel/lodging arrangements and requirements for designated Executive/Department Director. Assists specified personnel in making arrangements to attend hospital related business functions, conferences, seminars and retreats.

  • Maintains organized and indexed computer files in manner that information can be readily obtained, if and when needed, during approved absence; such as vacation or illness.

  • Proofs all work submitted to eliminate errors and reduce rework.

  • Assures that all correspondence, minutes and reports are accurate and grammatically correct.


  • Education: High school or GED

  • Experience: 1 – 3 years
