Job Summary

The Manager Administrative Services is ultimately responsible for all aspects of the management of the Administrative Services, Facility, and its personnel, in addition to working on long term real-estate strategy. Identify issues, address problems, implement pro-active solutions, select service providers and manage relationships; implement regional policies and guidelines.

Section A – Specific Responsibilities

Viscount Office - this includes but is not limited to: Facility, Real Estate, Project Management, CPS Fulfillment, Quality Assurance, Mailroom, Health and Safety, Catering/Cafeteria Services, Gym, Janitorial, and Security of the site.

Facility Management:

  • Lead and manage the Viscount facility to ensure optimal business operations

  • Set department work priorities, develop consistent service standards and practices

  • Develop, recommend, and implement policies or processes to improve work environment and efficiency in relation to business needs

  • Lead and manage local/regional general procurement process (service contracts/trades/general construction)

  • Lead and manage relationship with selected suppliers, review and approve quotations and invoices to ensure best possible service/cost balance

  • Lead and manage relationship with Landlord for problems related to premises

  • Negotiate with Landlord for building improvement cost

  • Finalize appropriate documentation with McKesson Legal (contracts/construction/service agreements)

  • Develop Viscount business-wide communications and distribute to employees

Oakville/GMD Administrative Services:

  • Assist GMD with Facility-related projects/management

  • Finalize appropriate documentation with McKesson Legal (contracts/construction/service agreements)

  • Standardizing GMD processes/policies with existing McKesson processes/policies

Project Management:

  • Manage projects on behalf of local Toronto Area business needs and McKesson Real Estate

  • Working with senior leadership to develop strategy for optimization of future use of existing Viscount facility/future long term space needs

  • Represent McKesson in Toronto in conjunction with consultants on McKesson Facility/Real Estate/Construction-related projects

Real Estate:

  • Work with senior leadership and McKesson Real Estate to build long term strategy for McKesson properties in the Greater Toronto Area

  • Work with McKesson Real Estate on strategy, plans, and execution of integrating newly acquired GMD and Rexall businesses

  • Assisting other sites with Project Management, service contracts, invoicing/payment issues

  • Ensuring the best possible landlord relations

Regional Procurement:

  • Leverage existing regional vendors and service providers throughout the Greater Toronto Area sites to lower costs

  • Identify opportunities to leverage existing service contracts with newly acquired businesses

  • Manage implementation and follow up on regional procurement initiatives and agreements for Viscount/Greater Toronto Area Facilities

Budget:

  • Develop Administrative Services fiscal year budget. Manage budget on target including capital building and equipment improvements, operating expenses for maintenance, repairs, security, supplies and cleaning to be carried out on a cost effective basis.

  • Participate in forecasts and review period-end results.

  • Leverage CAR/Capitalization for specific property/facility improvements in order to minimize FY budget impact

Specialty Fulfillment:

  • Lead and manage Fulfillment services

  • Management of daily printing and delivery of Co-Pay cheques to patients and customers

  • Planning and overall management of large-scale mail outs for customer programs

  • Includes compliance with customer contracts/Quality Assurance policies/Legal

Quality Assurance & Compliance:

  • Ensuring the highest level of compliance for customer contracts/Health Canada/Ontario College of Pharmacists regulations/customer audits for SPS Fulfillment and Facilities (3 pharmacies/narcotics vault/patient records/Personal Information/Personal Health Information

  • Managing root cause analysis investigations and working with all stakeholders to improve process and prevent repetition of error

  • Regular (quarterly) updates/business review with local senior leadership to ensure optimal satisfaction for the business

Site Security:

  • Manage the security of Viscount site (3 pharmacies narcotics vault 2 departments managing patient records)

  • Ensure compliance with regular security audits (badge access/terminated employees/risk assessment/security of Facilities)

  • Liaise with Corporate Security, Global Security Operations Center, and security provider to ensure the highest level of Security in compliance with the latest policies, procedures and initiatives

Health & Safety:

  • Oversight of department responsible for complying with all Ministry of Labour and Health Canada guidelines/legislation pertaining to workplace safety/accessibility

  • Ensuring the safety and security of all staff

  • Liaising with local Law Enforcement and Emergency Services to ensure the best possible relations

Section B – General Responsibilities

People Management

  • Supervise and fully accountable for tasks of Site Facility, Fulfillment, Mailroom, Health and Safety, Security, Reception, and all Administrative Services personnel. This also includes performance evaluations, development plan, scheduling and replacements

  • Drive the development of improvements and solutions to business challenges by engaging stakeholders and leveraging Administrative Services team

  • Develop the Administrative Services team through selection, coaching, counseling, mentoring, goal setting

  • Actively promote a proactive approach to managing change and the integration, cooperation and communication between departments and businesses

  • Manage the creation and implementation of a framework that will provide a team based culture that emphasizes service excellence, accountability, empowerment, quality, empowerment, growth, productivity, safety and compliance

  • Empower staff to make their own decisions with confidence in order to encourage their development and improve departmental performance

  • Coach and grow employees to benefit not only themselves, but the business as a whole

Section C – Position Requirements

  • Minimum of 5-7 years of professional experience in facility management combined with a strong people management background and solid analytical skills.
