NATURE & SCOP

The program operations associate lead is responsible for assisting in the set up and process flow of programs as they are introduced to the pharmacy. The program operations associate lead is also responsible for ensuring proper communication and coordination between the program managers and pharmacy staff to further ensure alignment and program efficiency for best in class service to all clients.

MAJOR ACCOUNTABILITIES

  • Assisting the Supervisor in the design, setup and launch pharmacy program in coordination with requirements from patient program and or drug manufacturer

  • Identify, document and support effective project execution as directed by the Supervisor of Program Operations

  • Analyze existing processes/systems and make changes when needed to ensure efficiency

  • Create and monitor program work instructions, SOP’s, and call scripts as needed

  • Train program managers and supervisors on process flow and systems as required

  • Adherence to all relevant guidelines including the established Standard Operating Procedures and all applicable regulatory requirements

  • Ensure exemplary customer service to clinics and physicians

  • Manage customer complaints and keep Management promptly informed

  • Report all non-conformances to Supervisor of Program Operations

  • Prepare CAPA Plans when required

  • Understand, recognizing, and resolve third party billing issues

  • Assisting national pharmacy staff in billing and dispensing program medications to ensure arrival to the appropriate destination on time

  • Inventory management and reconciliation as needed

  • Invoicing and reporting as required for each program

  • Effectively communicate with both external and internal contacts

  • Developing and maintaining professional relationships with health care professionals, reimbursement coordinators, provincial ministries of health and private payers

  • Communicate requirements and training details to other pharmacies within the specialty network ensuring all locations trained and aligned on the overall process of the program

  • Accurate data entry into various systems including in house databases and pharmacy software

  • Thoroughly and accurately complete paperwork regarding the processing of materials

  • Other duties as assigned by management

Requirements

Education and job experience

  • College Pharmacy Technician Diploma or equivalent

  • At least 4 years in the pharmaceutical industry within the province of Ontario

  • Experience with understanding of biologics and specialty medications and third party billing issues an asset

Specific skills

  • Excellent communication skills, verbal and written in English

  • Strong computer skills in a Windows environment using MS Office (Excel, Word)

  • Strong knowledge of Kroll pharmacy software

  • Knowledge of Third Party Insurance plans and PPN’s

  • Critical thinker

  • Excellentphone etiquette

  • Highly organized with strong attention to detail

  • Proven ability to manage time, set priorities and multi-task in order to meet various competing work deadlines

  • Flexibility in working overlapping shifts during pharmacy hours of operation

  • Experience in the healthcare, pharmaceutical or insurance industry is an asset

  • This position requires a significant degree of self-starting and independence
