Pleasanton / Human Identification Division

What will you do?

  • Provide administrative support to ensure efficient operation of the office

  • Effectively coordinate and manage timelines for onsite and offsite conferences/meetings, including travel plans.

  • Organize and schedule meetings and appointments, book conference calls, rooms, taxis, couriers, hotels etc.

  • Ensure that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner.

  • Assist in the preparation of regularly scheduled reports

  • Drive planning and coordination of site social events,

  • Responsible for broad email communication across divisions within IXI HID.

  • Ensure IXI HID site Distribution List is continually updated,

  • Assist with office space planning, be proactive in communication with all functional teams to understand employee work space needs,

  • Order and track inventory of ThermoFisher brand materials, water bottles, shirts, etc.

  • Review, track and approve invoices for office supplies and stay within budget.

  • Site support for office maintenance/facility needs; site contact for office vendors,

  • Coordinate with facilities the needs of the staff to effective completion

  • Provide back up support to Administrative Assistant in absence.

  • Provide administrative support to divisions when bandwidth allows

  • Research and creates presentations

  • Prepare and monitor invoices

  • Photocopy and print out documents on behalf of other colleagues

How will you get here?

Education

  • Associate degree (Bachelor degree preferred)

Experience

  • 2+ years’s experience working in an office setting.

Knowledge, Skills, Abilities

  • Adept with organization, planning and time management,

  • Excellent written and verbal communication,

  • Strong working knowledge of Microsoft Office Excel, Word, Outlook

  • Customer service oriented

  • Able to complete complex administrative

  • Office practices and procedures

  • Understand and adhere to policies and procedures

  • Requires the ability to perform independently and as part of a team

  • Ability to communicate in a clear, concise, personable manner

  • Ability to multi-task and prioritize,

  • Ability to manage processes,

  • Promote process improvement.
