Job Title: Quality & Regulatory Coordinator

Job Responsibilities:

Administrative support Quality, Consumer Relations, and Int’l and Regulatory Affairs – 40%

  • Manage calendars

  • Set-up meetings, interview schedules, travel, etc.

  • On-board new hires

  • Manage PO process for Quality/Regulatory/Consumer Relations

  • Manage vacation days/personal days spreadsheet for Quality/Regulatory/Consumer Relations staff

  • Troubleshoot office equipment issues

  • Order all office supplies for Quality, Regulatory and Consumer Relations

  • Coordinate the Quality quarterly meetings

  • Resource for Quality, Regulatory and Consumer Relations

  • Coordinate department Clean Up day

Consumer Relations support – 10%Prepare and Enter Sales

  • Request the US and Canada product unit sales data each month

  • Receive the sales for UK, France, Ireland and Germany

  • Prepare the sales data for US, Canada, UK and France, Ireland and Germany to import into Wilke Thornton

  • Identify missing UPCs

  • Request UPCs to be entered into Wilke Thornton from the Consumer Relations group, if necessary

  • Import the sales data into Wilke Thornton for all six countries

  • Troubleshoot macro and report issues

Backup support of the PPML retrieval process

  • Review and update product data and input in Wilke Thornton

  • Raise any concerns or questions to Consumer Relations

  • Assist Consumer Relations team with any question

Manage the post office funding for PPML

Global Quality support – 50%Support the Reportability Review Committee (RRC) – 15%

  • Organize and schedule the weekly meetings and complaints

  • Attend the meetings and take notes

  • Compile the notes and use Wilke Thornton for any additional information or clarification, then forward to the RRC committee for first round approval

  • Manage follow-ups to the group in order to receive comments on time

  • Revise, combine and update first round minutes and send out for second round/final approval

  • Once complete, send out final

  • Make travel arrangements for medical expert once a quarter

  • Coordinate the payment for medical expert by creating POs and receiving invoices

Quality Management System and Global Quality Program – 10%

  • Create all new scorecards and KPI input sheets for each new year. This also involves updating the links, formulas and base and targets within each document to ensure accurate information.

  • Review scorecard and KPI input sheets to ensure data is entered and is current and accurate on monthly basis.

  • Set-up quarterly Global Quality council meetings and prepare monthly presentation deck to present to Global Quality leaders to identify and address common issues impacting the business.

  • Request Quality award communication, compile award nominations and order awards.

Administrator for new LMS system Manage the Global Quality SOP system (updating, circulating and issuing of SOPs) plus – 5%

Sharepoint - maintenance -

  • Route/Circulate new and revised SOPs for approval

  • Upload approval SOPs to Click

  • Issue the SOP to Quality/Regulatory/Consumer Relations for training retention

  • Communicate that the SOP has been upload for review

Manage the SOP Training Review & Signature process to ensure accurate records of all SOP training –5%

  • Update Access database when changes occur, i.e., new SOPs, new employees, etc.

  • Distribute the signature sheets when a new or revised SOP is added

  • Compile and file signed signature sheets

  • Review quizzes and file

Track Waivers

  • Receive, number, and email to appropriate plant. Store for retention.

Organize Annual Global Quality Meeting – 7.5%

  • Work closely with contact at plant/hotel to ensure all needs are met for all meeting attendees, i.e., lodging, meals, transportation, meeting materials, etc.

  • Work closely with regulatory contacts to ensure all needs are met for all meeting attendees, i.e., lodging, meals, transportation, meeting materials, etc.


  • High School Diploma with 3+ years related experience or degree from accredited institution with related experience.

  • Strong experience with Microsoft products is required.

  • Demonstrated integrity and discretion in handling protected/confidential data.
