Job Summary

AECOM is seeking a Project Coordinator for the San Diego, CA office. Supports project manager with developing, implementing, administering, and maintaining policies and procedures for ensuring the security, integrity and compliance in accordance with program/contract terms and conditions. Works independently and with partial supervision. Excellent written and verbal communication skills with internal and external clients. Candidate must be well-organized and detail-oriented, demonstrating the ability to quickly recognize and solve project issues.

The responsibilities of this position include, but are not limited to, those listed below:

Project Invoicing Responsibilities:

Assist with financial administration and coordination including:

  • Review sub-consultant invoices for accuracy per contract terms

  • Communicate with sub-consultants on a regular basis to follow up on invoices/requests

  • Submit sub-consultant invoices to AECOM invoicing system (AGIS) after approved by client and track their payments

  • Work and review financial/cost data to generate AECOM invoice manually per client format

  • Submit monthly accruals to client

  • Review expenditure report and supporting documents and follow up with staff as needed

  • Work closely with AECOM project biller to obtain required backup documents for billing and ensure invoice quality/accuracy

  • Identify billing issues and follow up to resolve/bring to project management team attention

  • Track client payments/short payments to resolve outstanding AR

  • Act as a point of contact to client accounting department in response to requests or questions

  • Track status of TAs and PAs and bring to PM’s attention when action is needed

Assist with project/program management:

  • Obtain required documents for TAs and PAs proposals

  • Draft and review TAs and PAs proposals

  • Work with team members to support program management tasks

  • Assist project managers in bookkeeping and reviewing documents/proposals

  • Set up and maintain filling system for sharing files among project team

  • Perform basic financial analysis to support project management

  • Support on training new staff

Minimum Requirements

  • Bachelor's Degree

  • 2+ years' experience

  • Knowledge: Financial Management/Project Administration

  • Technical Skills: Microsoft Word, Microsoft Excel (pivot tables, basic formulas), basic Accounting

  • Excellent verbal and written communication skills

  • Due to the nature of the work, US Citizenship is required
