CBRE Client Reporting Administrator in San Jose, California

Job Summary:

Responsible for ensuring the business makes better decisions through collection and usage of Facility data. Ensures business data and analysis requirements are met by properly applying data concepts, including data structures, collection and cleansing, and structured and unstructured data analysis and reporting.


Ensures that the IWMS system accurately reflects current occupancy of each building. Ensures occupancy information is updated and accurate. Maintain accuracy of employee data. Confirm accuracy of IWMS space information through regular audit of data for "unapproved" exceptions. Provides daily support to the Occupancy Planning Team; work order management (SLA compliance). Develops ad-hoc analytics and reporting based on analysis of existing data sources, utilizing a variety of tools (i.e. IWMS, Rifiniti, Tableau, Service Insight, Smartsheet). Performs ad-hoc, strategic analysis of structured and unstructured data across multiple sources, reflecting global real estate markets, operations of real estate assets, and health and human services data. Develops data structures and pipelines to organize, collect, cleanse, and standardize data in order to generate insights and addresses reporting needs. Support the development and issuing of reports as directed. Defines data requirements and gathers and validates information, using judgment and statistical tests. Utilizes programming and analytical tools to formulate models and/or extract insights.

Well versed in knowledge of creating algorithms, identifying patterns and insights from structured and unstructured data sets utilizing graphs, trees and/or other data representation techniques as required. Identifies opportunities to maximize data usage, applying modeling and optimization methods to develop new strategies and improve business performance. Identifies and troubleshoots data integration and integrity issues in cooperation with the appropriate CBRE business units; designs work flows and procedures. Exhibits analytical rigor, judgment, and ability to present a comprehensive 'data story' to multiple levels of the organization. Assist in documenting and reporting of key metrics (e.g. space utilization, space allocation, workers comp, etc.). Attend meetings to report data, occupancy and EHS related issues, requirements, challenges and opportunities.


BA/BS degree in a related discipline or 5+ years equivalent experience in field of study (i.e. Data Analytics, Corporate Real Estate & Facilities Management, Occupancy Planning, Space Management, Facilities, Environmental Health and Safety, etc.)

Requires basic knowledge of financial terms and principles.

Requires strong analytical skills. Decisions made with general understanding of procedures and company policies to achieve set results and deadlines.

Ability to calculate simple figures (percentages), as well as more complex calculations

Ability to understand and carry out general instructions and solve problems in standard situations.

Proficient in MS Office.

Knowledge of Excel Pivots, IWMS/CAFM systems, Tableau is a plus

Experience in communicating with all levels of management

Strong organizational skills with attention to details.

Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding.

Ability to write routine reports and correspondence.

Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor.

Strong communication skills. Ability to effectively present information to an internal or external department and/or large groups of employees.

Proactively searches for process improvement

Takes ownerships--errors in judgment may cause short-term impact to co-workers and supervisor.
