The Task Leader establishes and maintains procedures for adhering to performance metrics and Standard Operating Procedures (SOPs).

Duties and Responsibilities:

  • Manage document tracking databases, inventorying records, and scanning regulatory records.

  • Perform extensive quality control activity; carry out 2nd level quality reviews on work performed.

  • Act as primary point of contact for Project Managers and provide assistance to the client.

  • Provide backup in supervisor's absence.

  • Monitor workloads, prioritize work and assign staff resources, as necessary, within their area of operation.

  • Implement Standard Operating Procedures SOPs and train staff accordingly.

  • Assist with training activities for new hires.

  • Review and monitor performance for completeness and adherence to standards timeliness and quality.

  • Solicit feedback on project performance from the client.

  • Assist with compilation of daily, weekly, and monthly reporting requirements.

  • Prepare and send e-mails to the client for corrections, changes, and guidance.

  • Perform corrections/changes as requested and/or as identified by the client.

  • Follow-up on corrections and problem areas identified or areas where procedural clarifications are needed, including reporting all quality or performance problems to Project Management staff.

  • Other duties as assigned

Minimum Qualifications : (To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.)

  • High school Diploma

  • Baccalaureate degree and at least 4 years experience in a document, records information management or life sciences environment

  • Minimum 7 years of progressively more responsible leadership experience in a records management, document management or life sciences environment

Knowledge, Skills and Abilities:

  • Be able to effectively communicate orally and in writing.

  • Functional knowledge of Microsoft Access, Word, Excel, PowerPoint, Outlook and Windows-based operating systems is required.

  • Must have a detailed knowledge of lifecycle records management including the use of file plans, records inventories and records disposition schedules.

  • Must have client customer service experience.

  • Must have a demonstrated ability to oversee all facets of a regulatory document and records management effort and staff.

  • Must be knowledgeable in contemporary project management tools and command of the core principles of effective management.

  • Must have the ability to plan and schedule production and resources to ensure turnaround requirements in these areas are met.

  • Shall have the ability to effectively communicate with FDA user organizations and technical staff.

  • The employee will normally work in a temperature-controlled office environment, with frequent exposure to electronic office equipment.

  • During visits to areas of operations, may be exposed to extreme cold or hot weather conditions. Is occasionally exposed to fumes or airborne particles, toxic or caustic chemicals, and loud noise.
