- Chenega Enterprise Systems & Solutions, LLC is looking for a General Clerk III to Provide administrative, programmatic support for the field and area offices throughout the state of Tennessee, USDA NRCS to assist State Mgt. and Strategy Office.
Duties and Responsibilities:
Assisting the District Conservationist and other office staff with activities that support
NRCS financial assistance programs through the Farm Bill.
Providing assistance related to collecting and assembling cost data and processingpayment application requests. Reviewing a wide variety of invoices, vouchers, and othermiscellaneous paperwork associated with NRCS Programs
Compiles supporting documents to substantiate payment requests, ensures that paymentrequests comply with provisions of long term contracting and are within obligatedspending limits prior to submission of payment package. Assisting with documents andcorrespondence related to contract administration, including contract implementation,status reviews, contract modification and potential cancellations or terminations.
Services will require utilizing a variety of computer hardware and software applicationsand small office machines. Working knowledge of the Natural Resources Conservation Service (NRCS) software such as Protracts, Conservation
Desktop, Document Management System, Performance Results System, and Excel.
Additionally, will establish and maintain participant files in Document
Management System and Protracts.
Review accuracy of documentation, compliance with regulations, andjustification of vouchers, invoices, claims, statements and other requests for payment ofgoods and services; processes program payment information; prepares for District
Conservationist’s signature and forwards completed document to Program Assistant for
Responsible for establishing and maintaining contracting files andproducer records according to NRCS policy. This includes receiving and assemblingprogram applications and collecting producer eligibility information. Responsible forcompiling contract administrative documentation.
Assisting with general clerical and logistical items in the office as needed, including butnot limited to: gathering documents related to data calls and financial and programmaticaudits; preparing reports based on requests for statistical or information materialregarding NRCS programs; obtaining information from tracking software, files, andthrough knowledge of technical staff; and updating data and electronic copies ofdocuments into agency specific electronic software programs, such as Document
Assisting with vehicle maintenance coordination
Other duties as assigned
Minimum Qualifications : (To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.)
Minimum of a high school diploma.
3-5 years of clerical experience
Knowledge, Skills and Abilities:
Proficient in word processing;
Proficient in the use of computer hardware and software applications, such as Microsoft
Windows, Word, Excel, Access, Outlook, PowerPoint and Adobe Acrobat Professional;
Knowledgeable and experienced in operating small office machines, such as calculators,fax machines, scanning devices, postage meters, and copy machines;
Knowledgeable and experienced in general office procedures, such as preparing reports,spreadsheets, and filing. Familiarity with certified mail and return-receipt mailprocedures;
Ability to learn and utilize agency specific software and web-based applications;
Good oral and written communication skills
Capable of working independently
Customer service experience with the public
Possess basic telephone skills.
