What is this role all about?

Based in Uxbridge the Sales Support Coordinator Apprentice is responsible for working with and providing a variety of support and analysis to Sales personnel within all Hertz UK sales segments that include the Contract Sales Teams, Leasing, Vans, Tele-business, Hertz 24/7 and Local Operations Sales that are responsible for accounts generating multi-million dollars in annual revenue. This role acts as a key contact for In-Country/Global Sales, Marketing, Pricing and Operations teams and interacts with all levels of management.

Day to Day Duties:

  • Production of reports (STD/bespoke and ad-hoc) with rental information on a daily, weekly, monthly, quarterly and yearly basis. That goes to all from the customer to Account Manager level right up to Director of Sales Northern Europe and General Manager of the Country.

  • Production of a monthly sales dashboards that show Account Managers and Senior Management various information and indicators on account performance and issues.

  • Complete corporate bids and tender documents (RFP, RFQ & RFI) with rates and Terms & Conditions for Hertz UK held portfolio accounts and to assist sales personnel to gather data to complete UK and PAN European negotiated tenders. (For all Hertz UK Sales segments).

  • Create and update Hertz UK pricing proposals.

  • Creating/Deleting and amending Contract Numbers and CDP numbers.

  • Raising of Purchase Orders for internal and external vendors.

  • Credit Checking Companies within the UK to see what amount of Credit can be authorised.

  • Preparing contract Implementation and contract amendments for Hertz UK accounts Domestic/Pan European Level.

  • Test rates and non-standard Terms and Conditions loaded against contracts in various booking systems/IT platforms.

  • Preparing, Liaising and Implementing contracts with Hertz UK Operations and Fleet department for Van owner driver and Service Partner contracts. (Checking Drivers are legal to be on the road).

  • Help manage/implement on-going processes within the Hertz UK Sales and Sales Support Teams.

  • Production and on-going maintenance of domestic/International documents on the Hertz UK Sales Library

  • Database management/admin (Hertz In -house Database’s such as Easy Proposal a local sales tool/ COI reference guide etc).

  • Data distribution and Management Information on Sales territories and Corporate Accounts.

  • Investigating Customer Invoice queries for Account Managers and getting them rectified though the Dublin service centre.

  • Update data held in Hertz in-house systems and perform system & rates testing, investigating and reporting issues.

  • Produce and maintain presentations in PowerPoint for use by Sales.

  • Contract administration management for all Hertz UK Domestic and Pan European accounts.

  • Manage or act as a key team member on corporate Hertz UK and where necessary Hertz International projects.

  • Provide Hertz UK sales teams support, completing ad-hoc tasks as delegated / requested by Director of Sales Northern Europe, GM of the country, Head of Corporate Sales and Head of Van Sales.

  • Act as a point of contact to answer general queries and ad-hoc requests via phone, e-mail, instant messenger and walk-ups for corporate contract business ensuring the work is actioned within specified deadlines and to agreed SLAs.

  • Set up new starters from requesting log ons and system access to getting Lap Tops and mobiles ready from IT for when a new staff member arrives.

Desired skills

  • Previous experience in a busy office environment in similar role

  • Previous experience of working with multiple departments and different levels of management

  • Previous experience of completing tender documents an advantage

  • Experience of working in an International country an advantage

  • Proficiency in Microsoft Office applications including Word, Excel and PowerPoint to intermediate / advanced level

  • Experience of Microsoft Visio desired but not essential

Qualifications required

  • GCSE Grade C or above in English & Maths (or equivalent)
