What’s the role?

The Shell Information Management Competence Centre (IMCC) works as part of an integral team responsible for providing IM services to the Norske Shell business community. The Document Control Lead will be responsible for driving document control best practices and DRM activities across several Capital Projects which may be at various delivery stages in addition to Asset managed changes. A key focus area is to ensure consistency in ways of working regardless of the performing function.

As the Document Control Lead you will be engaging with a wide variety of stakeholders and managing a team of document control resources in the Shell offshore hub (India).

You are a strategic thinker who can easily manage senior stakeholders within the business. You also got the knowledge and the confidence to manage expectations and find the right balance between efficient ways of working and quality in delivery. You are an excellent communicator and have effective influencing, challenger and consultation skills. As part of the IM team, you will help frame opportunities across various Project portfolios, leveraging internal and external best practices from a process, data and systems perspectives.

Knarr was added to our operated portfolio when Shell combined with BG in 2016 and has exceeded expectations for production volumes and uptime.

Skills & Requirements:

Experience

  • At least 5-7 years’ experience in in Information Management with respect to Document Control in a brownfield environment.

  • Document control processes and systems on Major Capital Projects, and of the interface management in the major execution contracts (e.g. FEED, EPC, EPCM).

  • Able to coordinate and manage delivery of documents from contractors and suppliers via the project team through to the maintenance systems build teams, construction system builds teams and others as appropriate.

  • Champions data centric ways of working for engineering, project controls, construction and operations.

  • Effectively develops and uses data reports to playback project performance to stakeholders together with the LCI coordinator and IM Lead.

Knowledge of:

  • Cross-discipline engineering documents (requirements and use) and discipline approval processes within project teams.

  • Records Management principles and implementation methods.

  • Document control and document management systems (Assai & SPF) as well as in using (at least some of) project reporting software

  • Management of Change processes relevant to complex oil and gas processing facilities. Special attention to managing information & data scope in a brownfield environment (concurrent engineering).

Leadership and Interpersonal Skills

  • Experience coordinating team across several geographical locations and timezones.

  • A high degree of skill in written and oral communications

  • Collaborative and continuous Improvement mindset.

Dimensions:

  • Prepare specifications for documents (requirement, control, delivery) for (a) Internal and external design and vendor documents, and (b) Project correspondence.

  • Maintain a set of key procedures and specifications governing the document control process, including document control procedure, correspondence procedure, achiving specification and other documentation together defning the Document Control Framework across Norske Shell.

  • Comply with the Company Records Management for Controlled and non-Controlled documents.

  • Manage document flow within project, and from / to contractors or vendors. Create and maintain document distribution matrix with the Project Manager/Responsible Engineer.

  • Implement solutions that educate and encourage internal and external stakeholders to become more collaborative in their ways of working.

  • Be the Norske subject matter expert of the Doc Control System (Assai).

  • Drive improvements within the Document Control scope through leadership, standards, and behaviors.

  • Prepare and issue document reports (Monthly Contractor Master Document Register status / progress / forecast, Weekly Company Document review statistics).

  • Supervise a team of project document controllers and / or manage document control services rendered by third party provider, as well as the Shell offshore hub.

  • Accountable for service delivery of DRM operational contracts staff & budgets including Content Services. Content Services Responsible for delivery of physical record management services, publishing, archiving, scanning, document storage and library services.
