Branch Administrative Assistant

KEY OBJECTIVE:

To successfully perform administrative duties of a confidential nature for the senior management and general functions for branch operational oversight and efficiencies.

MAJOR DUTIES & RESPONSIBILITIES:

Duties may include, but are not limited to: * Under limited supervision, performs administrative duties of a highly confidential nature.

  • Performs administrative analyses delegated by superior which require a considerable degree of independent decision making.

  • Schedules and organizes activities such as meetings, travel, conferences and department activities for all members of the department.

  • Maintain calendar, pool car, and expense entries for primary support business customers.

  • Establishes, maintains and updates files/reports for the leadership and/or departments.

  • Sorts and distributes mail; answers routine correspondence, screens phone calls and visitors; re-routes callers to other departments when necessary.

  • Oversight for onboarding of new hires, AP checks requests, supply procurement, and fleet car management.

  • Work with agency services to ensure licensing, producer agreements, agency transfers and commissions are accurate in Agency Management System

  • Support of underwriting departments in monthly function of renewal prep functions and/or newline tasks in support of new business generation.

  • Engagement in branch meetings and/or events, as deemed necessary.

  • Administers programs, projects, and/or processes specific to the operating unit served.

  • May serve as administrative liaison with others within and outside the company regarding administrative issues related to purchasing, personnel, facilities and operations.

  • Provide back up support to other administrate personnel within the organization as needed.

  • May coordinate or disseminate administrative work to other clerical staff within the organization.

    Role has direct reporting relationship to Portland Branch Manager, with dotted line reporting structure to Pacific Region Operations Manager. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization.

    DESIRED QUALIFICATIONS/SKILLS:

  • 3 to 5 years of demonstrated competence in administrative assistant functions or related experience

  • High degree of professionalism and a demonstrated ability to handle highly confidential information

  • Accurate typing skills of 55-60 wpm

  • Excellent working knowledge of PC and various Microsoft software programs including Word, Excel, and PowerPoint

  • Thorough knowledge of the organization, personnel and policies

  • Thorough knowledge of the role and objectives of the department

  • Excellent customer service skills

  • Strong verbal and written communication skills

  • Self-starter with willingness to take initiative

  • Demonstrated ability to work independently with limited supervision

  • Proven ability in planning, prioritizing, and organizing diverse workload

  • Effective interpersonal skills to be capable of working with all levels of office personnel

  • Ability to maintain a positive attitude under pressure
