Combined Insurance Learning Coordinator, North America Learning and Development in United States

The Learning Coordinator supports the execution of all Learning programs for the Learning & Development teams. This includes CAP coordination, as well as coordination of programs in Leadership, Sales, Personal Effectiveness and Technical Learning. Partnering with the Learning Managers, Learning Specialists, and Business leaders, the role is responsible for coordinating and executing all of the details, logistics, plans, materials, communication, and on site support associated with all Learning and Development programs. The position handles numerous projects, events, and stakeholders simultaneously, prioritizes work, and takes the initiative to resolve issues. The ideal candidate must be well organized, detail oriented, and a self-starter who can communicate effectively with all levels of management as well as within the department.

This is a full time position, ideally based in Whitehouse Station, NJ. If position is located in another Chubb office, it will require frequent, week-long travel to Whitehouse Station. The position will report to the CAP Learning Manager.

Responsibilities •Manage all program logistics, including but not limited to: oWorking with Meeting Services to submit RFPs for hotels to be used in our learning programs oSetting up a program Registration site with Meeting Services and coordinating participant travel arrangements oSecuring and setting up meeting facilities, equipment, and supplies oDrafting communication to participants, facilitators, and business leaders regarding our learning events oOverseeing hotel, meal, and ground transportation arrangements for all travelers oArrange and attend dinners and/or various social learning activities in the evening during classroom sessions

•Support the execution of learning programs including oCoordinating, collecting, editing, formatting, copying, and collating all classroom content in advance of the program oUsing Chubb’s Talent Portal/LMS to create, send, and aggregate results for classroom evaluations oAssisting in the set up and delivery of virtual classroom sessions – demonstrated WebEx experience is preferred oSet up, delivery, and take down of classroom sessions including managing all the technology used in the classroom oUsing the Chubb Talent Portal LMS to set up course sessions and maintain course rosters and evaluations oTrouble-shooting all issues that arise during the classroom session

•Support the data needs of the Learning and Development function oExcellent Excel skills, including pivot tables, building spreadsheets, including creating formulas oData manipulation, data analysis skills to support learning trends and monthly/quarterly report data

•Monitor budget and expense data for Insurance Learning and Development programs, including oPerforming expense analyses for every learning program oManaging all program budgets and associated expenses, including tracking, recording, and coding expenses for every learning program

•Support the learning data needs using the Talent Portal LMS(Cornerstone) oProvides the learning data needed for event creation in Cornerstone/Talent Portal, including course/event name, objectives, number of participants, location, type of learning oCreates and maintains rosters for learning events, closes classes upon completion oOversees evaluation completion for courses through Cornerstone, including follow up for evaluation completion and monitoring of participant feedback oSets up social learning functionality using Cornerstone (Building/supporting Cornerstone Connect functionality

•Direct support from internal and external resources (i.e., Branchburg, Engineering, Security, Mail Room, Cafeteria/Catering Services, Meeting Services, hotels, ground transportation providers) to ensure proper program execution •Develop and maintain calendar for Commercial Insurance Learning programs •Collaborate with other Chubb Learning groups regarding best practices

Qualifications •Excellent organization, multi-tasking, and time management skills •Strong collaboration and teamwork skills •Proficiency in PowerPoint, including creating and using templates, graphics, and adding animation •Proficiency in Excel, including pivot tables, formulas, spreadsheet and data manipulation, macro and mail merge functions •Proficiency with Microsoft Word, including use of templates, macros, and mail merge functions •Proficiency in Outlook email, including maintenance of distribution slips, calendar functionality, etc. •Excellent communication skills, both written and verbal •Demonstrated problem solving skills •Demonstrated flexibility and adaptability when faced with changes •Demonstrated experience with WebEx webcast and virtual classroom functionality and conference calls •Ability to manage and trouble shoot classroom equipment, not limited to laptops, computers, projectors, video, streaming, conference call phones •Proficiency with learning management system functionality for course management and reporting •Familiarity with Meeting Services travel systems and processes and Expense coding systems and workflows helpful but not necessary
