Kaiser Permanente Events Coordinator in Wailuku, Hawaii

Provides event coordination services to support sponsorships, trade shows and other strategic events both within Maui Health System facilities and at community outreach event venues. Primary work will support brand communications and public relations efforts, but will also work closely with other related departments to execute events for both internal and external audiences. Ensures meeting and programs result in meeting multiple objectives and demonstrates appropriate and consistent application of the Maui Health System brand and style guidelines.

Essential Responsibilities:

  • Supports Communications Department by representing the department at all event planning committees within Maui Health System.

  • Coordinates event projects by researching/collecting data on meeting and project themes, sites, promotional items and special event activates to support event objectives.

  • Ensures financial and strategic objectives are consistent with department guidelines, policies and procedures.

  • Updates event content for employee newsletter, Intranet web pages and ensures appropriate content on Maui Health System external website and social media sites to promote events.

  • Coordinates content and program development of online registration, invitations and other collateral ensuring materials are professional and appropriately reflect the brand style guidelines.

  • Coordinates presentation preparations, including speeches and talking points, researching and analyzing information, graphic presentation and overall coordination to arrange audio visual technical support and staging for meetings and events.

  • Supports all logistics, planning and execution on the day of events.

  • Assesses effectiveness of communication to community groups and coordinates outreach events to meet organizational brand and reputation goals.

  • Supports efforts to improve departmental processes, with attention to project management. Models best practices for efficiency, timeliness, and accuracy.

  • Provides limited writing and editing of communications materials.

  • Coordinates with outside vendors and ensures invoices are processed for payment.

Basic Qualifications:


  • Minimum three (3) years of event coordinator experience.


  • Bachelor's degree in journalism, communications, marketing or related field OR four (4) years of experience in a directly related field.

  • Demonstrated experience in multi-faceted projects and ability to work in a team environment.

  • Demonstrated ability to track meeting and event budgets.

  • Demonstrated knowledge of and skill in industry practices, techniques, and standards, general application of concepts, principles, theories, concepts, and techniques.

  • Demonstrated knowledge of and skill in adaptability, conflict resolution, creativity/innovation, decision making, customer service, influence, interpersonal relations, oral communication, problem solving, project coordination, quality management, results orientation, teamwork and written communication.

  • Demonstrated knowledge of and skill in Microsoft Word, Excel, PowerPoint, Adobe Creative Suite, WordPress or other content management system, and Facebook.
