Summary:The Executive Assistantwill support the Assistant Administrator for the Bureau for Management (AA/M). The Executive Assistant is primarily responsible for supporting the AA/M and Deputy Assistant Administrators (DAA/M), as well as servingas a full member of the AA/M’s support team.The Executive Assistant will provide administrative support services to M/AA reporting to the Assistant Administrator for M Bureau and taking day to-day technical direction from the Deputy Assistant Administrators for M/AA.

Correspondence review and control. Reviews correspondence and documents prepared for signature of organization executives to assure consistency with agency procedures on completeness, timeliness and formats.
Prepares paperwork for review and appropriate clearance or signature by the AA/M or DAA.
Provides assistance to staff to assure that the tailored responses to inquiries from agency clients or interest groups on special matters are appropriate and in compliance with executive preferences and policies.
Assures that background and supporting information is provided in correspondence package.
Manages a wide variety of correspondence from within and outside the agency and decides how to handle. Reviews and either responds to the correspondence, routes it to the proper staff member, or consults with others prior to responding. May draft initial or final correspondence.
Along with other M/AA staff, maintains and updates a correspondence tracking system to ensure that deadlines are met, and assignments are completed.
Exercises control over the supervisor's calendar. Schedules and prioritizes appointments and meetings for the supervisor, accepting or declining invitations in accordance with protocol requirements and executive preferences.
Coordinates meeting locations, dates, participants, and agendas. Working with Executive Secretariat (ES) staff and other M Bureau staff, ensures that briefing materials for Principals are tasked and received prior to scheduled meetings/events.
Answers calls to the primary M/AA phone number and routes calls accordingly.
Screens all telephone calls and personal visitors.
Personally handles routine inquiries and those requiring knowledge of its internal administrative procedures. Refers inquiries requiring technical program knowledge to an appropriate staff member for follow-up.
Collaborates and coordinates with other M/AA staff to track and follow-up on tasks assigned to the M Bureau from ES and other offices.
Provides back-up support in the absence of other staff.
Establishes and maintains effective working relationships with agency staff, headquarters staff, state and local officials, and/or private industry individuals.
Performs other administrative tasks as assigned.

Minimum Qualifications:(To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.)
High School Diploma or GED required.
At least one year of professional experience as AdministrativeAssistant
Secret Clearance required.
