What You’ll Get to Do:

CACI has an exciting job opportunity for an Executive Administrator supporting an exciting project in Northern Virginia.

Supports the Sponsor’s front office personnel in optimizing the day-to-day management of the program, including coordinating and maintaining program/project plans, schedules, and planning, coordinating and participating in meetings, workshops and other functions. Planning and execution of special projects to improve operational efficiencies and customer and/or employee satisfaction. Responsible for monitoring, assessing and improving project-related policies, practices, procedures to ensure achievement of business goals. Participate in program meetings including preparing and distributing meeting minutes and action items; tracks and monitors overall action items database or log to ensure timely completion and quality deliverables.

More About the Role:

  • Perform analysis of program activities using spreadsheets, databases and other tools, and report on or make recommendations based on analysis.

  • Track and monitor action items for successful completion using SharePoint or similar tool.

  • Plan and execute special project assignments to include task definition, scheduling, resource allocation, progress monitoring and reporting.

  • Communicate policies, SOP’s, and business goals of the organization.

  • Develop and implement means to effectively communicate with staff at customer site, including both the dissemination of critical information and the solicitation and aggregation of information received from staff and clients.

  • Support the planning and coordination of office activities including the scheduling of meetings and preparation of briefings/presentations.

  • Coordinate project schedules, including participation in meetings; documentation and distribution of minutes and action items; and tracing action items for their successful completion.

  • Assist in the preparation of daily, weekly and monthly management plans and reports.

  • Support tasks requiring the collecting, compiling, evaluating and publishing of information and statistical data included in documents, records, forms, reports, plans, policies and regulations.

  • Maintain correspondence suspense files, records, files for reports, operating procedures, internal memorandums; compose and distribute correspondence.

  • Provide support such as editing of word processing and other computer-based documents; integration of various sources into a cohesive product which may be delivered as computer-based magnetic media; preparation of graphical and narrative presentation material.

  • Review others’ work for correct spelling and grammar, ensure format policies are followed, and recommend revisions.

  • Improve and develop the process, working methods and tools.

  • Perform administrative functions such as email and memo correspondence, schedule appointments, organize and maintain paper and electronic files, and providing information, requiring broad experience, skill, and knowledge of organizational policies, practices, and procedures.

  • Other duties as assigned

You’ll Bring These Qualifications:

  • 12 years of experience as an Executive Assistant or related; BA/BS degree; Experience working for a DoD Service or Agency; demonstrated ability to work under pressure, with a sense of decorum and discretion.

  • Expert-level knowledge of Microsoft Office suite (Word, Excel, PowerPoint, Outlook) with Journeyman level knowledge of Microsoft Project

  • Project Management experience including planning, execution and monitoring performance.

  • Critical and innovative thinking for improving and streamlining business practices where possible.

  • Must have the desire and aptitude to interpret areas where improvements may be made and proceed with a plan to do so.

  • Experience interacting with managed workflow systems (SharePoint, OnBase, ServiceNow…)

  • Focus on service quality, attention to detail and customer satisfaction

  • Ability to maintain composure and professional demeanor in fast-paced work environment

  • Ability to multitask and prioritize assignments

  • High level communications and organizational skills, ability to effectively communicate with senior/executive management and customers at all levels

  • Work Hours - Day shift with core hours 8am to 5pm

These Qualifications Would be Nice to Have:

  • Experience supporting an Agency headquarters in the Pentagon

  • PMP desired, but not required.
