Job Summary

The Performance and Governance Manager will work as part of the Real Estate Performance and Governance team, reporting to the Performance and Governance Director. The team is responsible for the governance; performance management; and optimization of real estate, project management, facility management and support services across the Enterprise which includes a combined budget of $130M and a footprint of over 4.2M square feet. This role is responsible for supporting the operational performance of key Real Estate vendors and providing governance and process improvement support over various Real Estate programs.

Essential Job Functions

Vendor Management: Supports the performance management of the largest Farmers Real Estate third-party vendors to meet or exceed all aspects of vendor management including: Financial management – Oversees billing validation processes to ensure supplier and internal invoicing is correct as well as efficient. First point of contact - Serves as liaison with key vendors and Real Estate Operations to ensure end-to-end support. Develops processes, procedures, and training for all vendor related tasks to support the internal Real Estate Operations team. Provides continuous improvement opportunities and recommendations on vendor responsibilities and implementation. Supports the management of third-party vendor Service Level Agreements (SLA's) and Key Performance Indicators (KPI's) and overall performance against established SLAs and KPIs. Provides support to the Real Estate organization for problems with vendor issues and is familiar with the variety of concepts, practices, and internal procedures. Represents Farmers Real Estate in the procurement of services and provides input into outsourcing strategy. Performance and Process Controls: Oversees various output processes related to Zurich Enterprise Service’s lease administration, which may include: payments, sublease receivables, lease data/file abstraction/input and maintenance, critical date reviews, lease auditing, and cost allocations.. Implements and executes on various initiatives, and provides project management on the development of new processes or programs. Re sponsibilities would include communicating to all stakeholders, training end users on any new processes or programs, acting as a subject matter expert as questions on new programs/processes arise. Tracks, analyzes, and communicates inter-company cost allocations for the Real Estate Operations team to ensure facilities invoice payment accuracy. Determines whether proper controls are in place and makes recommendations to Real Estate leadership team on areas of cost savings or improved efficiencies. Acts as a subject matter expert and super user of Farmers’ internal payment and procurement systems and processes (SAP, Coupa). Provides assistance and training to colleagues as needed. Regularly reviews processes and controls over Farmers Real Estate services related to the day to day delivery of Facilities Management Operations (facility management and maintenance, janitorial services, food service, mail operations, health <(>&<)> safety, move support, business continuity and crisis management). Identifies any gaps in service delivery or efficiencies, summarizes findings, and makes recommendations for improvement to leadership. Monitors and organizes framework for the Real Estate central document repository site (Sharepoint, etc.). Provides regular and ad-hoc data to the department's management team to aid in the decision making. Policies and Procedures: Implements policy or procedure programs to ensure real estate compliance with various Farmers policies. Establishes internal guidelines and takes the lead on various real estate or governance and performance processes including, but not limited to project management, financial transactions and recommendations, lease administration, facility management, and document logistics. Promotes best practices and consistency across the Real Estate department by ensuring consistent application of policies and procedures across locations, as well as ensuring vendors are adhering to service level agreements. Tracks compliance with vendor risk management policies, business continuity plans and other Farmers policies. Performs other duties as assigned or necessary.

Occasionally moves, lifts, carries, and places objects and supplies weighing 0-10 pounds without assistance. Listens to, interprets, and differentiates auditory information (e.g. others speaking) at normal speaking levels with or without correction. Visually verifies and reads information. Visually locates material, resources and other objects. Ability to continuously operate a computer for extended periods of time, up to a full work shift. Physical dexterity sufficient to use hands, arms, and shoulders repetitively to operate keyboard and other office equipment up to a full work shift.

Physical Environment

This position operates in an open office working environment which will include normal and customary distractions, noise, and interruptions.

Education Requirements

High School Diploma or Equivalent required. Bachelors Degree or equivalent combination of education and experience preferred.

Experience Requirements

3 to 5 years experience with developing and managing large scale of Statement of Work/Work Orders/Change Orders, processing (capital and operating budgets) and spending management required. 3 to 5 years experience with a proven record working in the areas of Real Estate Operations, sourcing initiatives, project management, accounting / finance, invoicing and consumption management. Two plus years of corporate real estate experience in a multi-location company required. Minimum 3 years project management experience preferred.
