What you will do:

You will provide high-level administrative support analytical and specialized support to the CAO and CFO, requiring a good understanding of technical and business vocabulary and knowledge of the organization's operations, procedures, and people.

  • Respond in a timely manner to routine departmental questions and respond to general internal/external customer requests
  • Build effective working partnerships with members of the team, as well as, across teams in the Business Unit and company
  • Schedule meetings, secure facilities/equipment and prepare meeting materials both on and offsite
  • Organize meetings, teleconferences and webcasts; coordinate all meeting logistics; prepare presentations and supporting materials; troubleshoot problems; satisfy special meeting requests
  • Participate in team and divisional meetings and projects
  • Maintaining a well-organized filing system, ensuring critical and/or confidential data is appropriately managed and stored
  • Proofread and edit documents, providing accurate feedback on grammar and spelling
  • Process invoices and department expenses for approval; track and reconcile to departmental budget; Process expense reports, as requested
  • Generate, route and file required documents according to prescribed schedules and processes
  • Format, generate and route reports according to prescribed schedules and processes
  • Present general departmental information in meetings, where applicable
  • Plan and coordinate travel for office team members including travel schedules, calendars and appointments; book flights, accommodations and ensure all travel considerations are accounted for.
  • Enter, administer and review systems data, as required
  • Manage department orders for office supplies, as well as, inventory of company assets and items
  • Support other administrative team members as needed

What You Need:

  • Minimum 2 years of relevant work experience; Associates Degree preferred
  • Demonstrated proficiency in using Microsoft Office Suite technology, including complex document creation, spreadsheet creation, and presentation creation.
  • Demonstrated proficiency in email and calendaring systems, preferring Outlook proficiency.
  • Detail orientation (e.g. calendar support across multiple time zones).
  • Ability to take proactive initiative, learn new concepts/processes, and improve current processes.
  • Ability to provide rapid, accurate response to confidential/sensitive requests and to routinely handle confidential information.
  • Critical thinking skills preferred.
  • Ability to prioritize multiple simultaneous deliverables and work in a demanding environment.
  • Must be able to understand and work within complex interdivisional procedures and executive schedules.
  • Demonstrated interpersonal, oral, and written communication skills.
  • Experience with international travel is required.
