Come, join the BMS Cell Therapy Operations (CTO) Unit, and be a part of the team building leading cell therapy platforms to serve our patients with novel cellular immunotherapies. The Global Manufacturing Science and Technology (GMS&T) department of CTO plays a critical role in technology transfers, process validation, CMC life cycle management, technical oversight of external and internal manufacturing partners, process engineering and establishing manufacturing standards to enable a robust global cell therapy manufacturing network. GM&T currently supports global commercial vector and drug product manufacturing for Breyanzi® and Abecma®. In addition, the department supports Cell Therapy Development (CTD) with the commercialization of cell therapy pipeline assets.

The Executive Associate II must be proficient in all aspects of corporate administration, including having exceptional skills for managing active calendars of appointments, managing cost center budget, creating POs, preparing PowerPoint agendas, composing staff communications, preparing correspondence which will include confidential information, arranging complex and detailed travel plans, itineraries, agendas for both domestic and international travel, meeting coordination, event management, situational leadership and helping to make CTO GMS&T a place where our people can thrive.


The primary focus of this role is to provide administrative and organizational support to the Vice President, CTO GMS&T. The GMS&T department is a growing organization currently with ~200 employees across multiple locations: Seattle WA, Summit NJ, Warren NJ, Devens MA, Munich DE, and Tokyo JP. This role will work and collaborate with the cell therapy administrative network across the organization to build community in supporting the cell therapy mission. The candidate must have demonstrated ability to advise and provide guidance for issues that arise daily. Familiarity with budgeting processes, business processes, and serving as a collaborative supporter to the positive culture is essential to this role. This position requires a minimum of 10 years of experience in providing executive level support and assistance at the highest corporate levels.

Critical to this role are excellent leadership, interpersonal, communication, coordination, and time management skills, with a focus on engaging and supporting others. Extensive experience working with dynamic teams and the ability to adapt to changing priorities is imperative. A great aptitude for applying judgement, decision making and organizational skills in a proactive manner will be part of the daily process. This job also requires flexibility to be available as needed and highly responsive. Have ability to resolve conflicts in a creative fashion with the highest level of attention to detail and expediency.

Job Description:

Major job duties include:

The primary responsibility of the CTO GMS&T Executive Associate II is to support the VP, CTO GMS&T with a mastery of the executive associate function, including a strong presence with high level of professionalism by:

  • Performing highly diverse administrative duties, which by nature of the position involve high-level contacts and exposure to sensitive information necessitating the considerable use of confidentiality, tact, diplomacy, discretion, and judgment.
  • Work directly with the GM&T Leadership team, GMS&T Extended LT, CTO and CTD Leadership team as warranted.
  • Proactively manage calendar; looking ahead at schedules, events, and needs of manager/team, anticipate conflicts, problems, and issues, and taking appropriate steps with minimum assistance from manager.
  • Assuming primary responsibility for coordinating monthly/quarterly GMS&T all staff meetings, communication activities, including all logistics for local and international participation, presentation material, etc. Be a business process owner of the GMS&T SharePoint sites; GMS&T mail distribution lists
  • Support staff and department meetings by administrative management of the meetings including arranging and establishing video conference connections, support in preparing agendas, and collection and distribution of pre-reads, and appropriate archiving of information.
  • Scheduling internal and external meetings, arranging travel including international aligned with corporate guidelines, pro-actively reviewing and refining travel arrangements.
  • Prioritizing activities and taking action based on an understanding of department objectives, customer needs, and BMS business strategy. Handles matters expeditiously, proactively, and follows-through on tasks/projects to successful completion on time.

Basic Qualifications:

  • High School Diploma with 10+ of experience providing executive level support and assistance at the highest corporate levels. Preferred but not required BS degree with 10+ years of experience in the pharmaceutical industry.
  • Demonstrated relevant experience with Microsoft Office Suite, Outlook, Calendar, SAP, and a general understanding of IT.
  • Excellent organizational, record keeping, and communication skills (oral and written) including ability to draft correspondence upon request of manager.
  • Demonstrated ability to establish office systems and processes.
  • Demonstrated ability to handle multiple projects, prioritize competing demands and requests by taking initiative to adjust or change priorities and must be able to work independently.
  • A strong work ethic to generate high quality work under tight deadlines.
  • A must have a can-do attitude, be resourceful, and have an approachable demeanor.
  • Ability to anticipate and be proactive is critical.
  • Experience working within the biotechnology, pharmaceutical, or life sciences sector highly preferred

Work Environment:

  • Position is primarily office based with flexibility to work remote part of the week.

Travel:

  • This position may require up to 10% of travel to domestic and international locations.
