Assistant to the Director, Deputy Director, and Museum

MIT Museum seeks an assistant to the director to provide support to the director, deputy director, and the Museum as a whole.

Support for the director and deputy director will include managing daily activities, including tracking deadlines, coordinating follow-up, and maintaining a complex network of relationships on which the fulfillment of the Museum’s strategic plan and operations depend; calendar management; scheduling appointments; coordinating internal staff meetings, including agendas, minutes, and follow-up; fielding requests; managing correspondence; coordinating travel; assisting with coordination of advisory board activities; and file maintenance.

Administrative and financial duties for the Museum will include submitting and processing requisitions for goods/services that sometimes require bid preparation and complex contracts; approving invoices and submitting requests for payment/reimbursement; serving as ProCard verifier; advising staff on best practices in accordance with Institute and departmental policies/procedures; planning and coordinating two to three staff events annually, e.g., scheduling dates, reserving rooms, planning menus, etc.; maintaining office equipment; assisting with staff onboarding; and handling other duties/projects as requested.

Required Qualifications:

  • High school diploma or its equivalent
  • Three years’ administrative, office, or related experience
  • Excellent interpersonal, communication, organizational, and problem-solving skills
  • Attention to detail
  • Proficiency with MS Office and online calendaring/scheduling systems, accurate keyboard skills, and comfort learning new software
  • Discretion and judgment with confidential information/issues
  • Adaptability
  • Ability to work as part of a team
  • Ability to represent the Museum and MIT to a variety of constituents
  • Ability to perform a wide range of complex and diverse duties with minimal supervision and despite frequent interruptions

Preferred Qualifications:

  • College degree
  • Experience with systems in use at MIT (i.e., SAP, Concur, Coupa)
