The Workplace Conferencing Services (WCS) AV Design & Project Coordinator is responsible for performing AV design & project engineering functions as required to support the design, installation, and delivery of meeting room audio-video systems.

Works with the WCS AV Design Lead to prepare and disseminate AV design and program documents which ensure alignment of design scope with internal clients and external vendors. Works to create high level cost estimates associated with large capital projects and coordinates with BMS project teams of architects, engineers, and facilities personnel to review and assess project requirements and deliverables throughout the project lifecycle. Maintains strong relationships with internal IT, Facilities, and preferred AV vendors to effectively deliver large / complex Workplace projects on-time and within budget.

The WCS AV Design & Project Coordinator will work in collaboration with the WCS Project Manager to ensure that the contracted scopes of work are performed to the highest possible standards of quality and conform to defined performance requirements. Also works closely with the fabrication and installation staff to ensure system designs are correctly implemented. Provides oversight of AV installations at BMS facilities around the world and works to harmonize activities of building trades to ensure that Audio Visual systems are scheduled and installed accordingly.

Works with other members of the WCS team to analyze current AV technology standards and recommends new solutions to optimize the use of AV technologies as part of the Workplace standard. Provides solutions for the migration from legacy systems to the latest BMS standards.

Maintains up-to-date understanding of evolving technological capabilities and seeks appropriate industry certifications to continually advance standards of ethical and professional practice for the audiovisual industry. Works with AV vendors and manufacturers to understand product roadmaps and create strategies to ensure longevity of standard solutions.

Additional tasks:

  • Creates designs for complex AV systems and can diagnose / resolve deficiencies with such systems.
  • Attends construction planning meetings and ensures that the construction management team (CM) understands how AV fits into the project.
  • Works closely with CM firms to ensure alignment of AV project schedules in the broader construction schedule
  • Provides detailed AV installation schedules and works closely with GC to communicate installation sequencing
  • Identifies all dependencies and highlights any risks related to the overall project schedule
  • Provides on-going coordination regarding AV related base building elements
  • Ensures that required data / telecom requirements are communicated and scheduled for installation
  • Reviews and comments on requests for information, change order requests. Escalates issues to BMS AV Integration Team as required.
  • Works with AV vendors to confirm that all AV equipment and peripherals are ordered, shipped, received, and staged accordingly
  • Works with AVS design engineers and the GC/EC to ensure proper installation of all architecturally integrated equipment installed by the GC or GC subcontractor
  • Makes site visits where possible at key milestones in the construction process to monitor AV infrastructure installation
  • Identifies / addresses / ensures resolution of any conflicts identified in the field
  • Ensures delivery of project close-out documents (end-user operations guides, training documents, room photos, etc.)
  • Demonstrates initiative, self-motivation and superior organizational / time management skills
  • Ability to work well with diverse groups of people to coordinate the standard / effective design of all facets of conference rooms
  • Advanced knowledge of Microsoft Office collaboration applications
  • Ability to learn new AV / IT systems / applications rapidly
  • Designation as a CTS-D or CTS-I recommended

Qualifications & Experience

  • Designation as a CTS-D or CTS-I highly recommended
  • Bachelor’s Degree a plus
  • A minimum of 5 years of design experience within the corporate AV industry
  • Ability to work both independently and as a member of a larger team
  • Outstanding interpersonal, written and verbal communication skills as well as exceptional organizational and project management skills are required
  • This role will not have any direct reports; however, the successful candidate will have a demonstrated track record of managing multiple, conflicting priorities in a rapidly evolving, fast paced, complex environment
