Job Description:

We are looking for someone with experience in Bid Management who thrives on working in an active, fast-paced environment to challenging deadlines. You must be self-motivated and able to work to tough deadlines, managing competing stakeholder demands.

You will be responsible for winning small to medium size opportunities, provide leadership of the bid team with oversight from the Bid Hub Lead and mentored by Senior Bid Managers.

  • Create and maintain bid plan / activity schedule including governance through the duration of the bid. Create and maintain response book plan, including owners and deadlines;

  • Lead bid kick off meetings and ensure bid teams are equipped with relevant bid / customer requirements and documentation and are briefed on the bid plan and expectations;

  • Develop response templates based on ITT / PQQ requirements, including AMU / Storyboards, Pink, Red and final versions. Where required, coach writers through the format of response templates, ensuring win themes and hot buttons are considered in response writing. Establish and maintain the wall of truth;

  • Coordinate and participate in colour reviews;

  • Participate in white glove and preparation of final bid submission as per bid requirements (e.g. customer portal, physical delivery etc.) ensuring that all deliverables requested for the submission are compliant and included;

  • Support any post-submission activities and support the program team as required – e.g. Clarification questions, pricing/solution amendments and required resulting governance;

  • Contribute to weekly bid hub meetings on live deals and share proposal best practice. Contribute to maintenance of shared mailbox for incoming opportunities and frameworks;

  • Mentor others in the business on win plan, including delivering win plan training to the wider business, alongside other bid managers;

  • Contribute to the Proposal Information Centre – including proposal submissions, case studies, and company information to maximise proposal re-use content;

  • Set up required virtual bid sites and maintain folders, ensuring content is in correct locations and that it is transparent to bid teams. Ensure that the correct user access permissions are set up;

  • Monitoring and managing communications, messages, clarification questions and documentation (RFI/PQQ/ITT/ITN/RFP) received from the client procurement portal, ensuring all information is communicated to the wider bid team with support from the Capture Manager;

  • Work with the Capture Manager and the Business Development Lead to build client relationships and support client engagements, help understand the Customer’s issues, concerns and hot buttons;

  • Support the development of winning strategies that differentiate us , are competitively focused and are compelling to the client and their requirements, as well as satisfy internal business objectives and risk posture;

  • Support the development of the business case for continuing to pursue and bidding for the opportunity including estimating and tracking bid budget and flagging when more budget is required;

  • Assist the Capture Manager in building resource profile for duration of the bid;

  • Support the drafting of gate and governance packs.

Experience/Skills:

  • Have a proven track record over several years working as a bid manager in UK public of up to £20m TCV

  • Be capable of developing and maintaining senior stakeholder relationships internally and with customers and industry partners

Skills required:

  • UK SC security clearance as a minimum

  • Leadership, management, and communication skills

  • Ability to build positive team rapport and willing to help and support colleagues from all levels of the organisation

  • Ability to manage to a challenging deadline

  • Ability to travel/ be deployed across the UK for several months at a time

Desirable skills required

  • Previous experience of leading bid teams working across multiple sites

  • Project management skills including ability to schedule and effectively time manage
