Position Summary:

The Capital Projects Senior coordinator will be responsible for facilitating the successful development, implementation, and management of capital projects for the organization. This role will entail the management of responsibilities in support of administrative, budgetary, and project-related logistics.

Key Responsibilities:

Capital Projects:

  • Route and track Capital Appropriation Requests (CAR’s), SAP, XRPM, purchase orders, and legal contracts
  • Create purchase requisitions and check requests
  • Track and approve invoices
  • Update project spread sheets (financial and status)
  • Facilitate review and approval cycles of project documentation
  • Liaise with capital accounting and finance on capital project financials
  • Assist with project closeout
  • Manage Capital in Progress (CIP) and the creation of Asset Registration Forms (ARF)
  • Maintain project documentation in hard copy and on SharePoint sites

Expense Budget:

  • Assist with the development of the annual operating budget, including: CAR expense, LOFA/DAR, depreciation, identification of idle assets and capital write-offs
  • Track and provide quarterly reports and analyze report discrepancies

General Administrative:

  • Facilitate employee onboarding
  • Make travel arrangements for management
  • Assist with maintenance of management’s calendars and schedules
  • Order office supplies
  • Prepare check requests as needed
  • Ship time sensitive documents via overnight courier
  • Process invoices for payment
  • Create purchase requisitions in Ariba
  • Utilize Outlook to coordinate and schedule departmental and cross-functional activities
  • Assist staff as needed with software issues, i.e., excel, charts, etc.
  • Prepare department meeting minutes
  • Assist with developing and tracking the departments expense and capital budgets
  • Submit IT/IS/Move service requests

Qualifications & Experience:

  • Bachelor’s degree and 3+ years of relevant work experience, or an equivalent combination of education and experience may be considered
  • Experience in a biopharma environment managing responsibilities pertaining to Facilities, Maintenance, Engineering, Project Coordination & Planning strongly preferred
  • Strong working knowledge in computer training systems and enterprise business systems such as SAP / XRPM / Ariba
  • Highly proficient computer skills in Microsoft Office Suite – Word, Excel, PowerPoint and Outlook with extensive background in database systems. Innate ability to learn new software, such as corporate intranet and enterprise business.
  • Knowledge of accounting principles: general ledger accounts, project capitalization and closure, asset registry and depreciation
  • Experience with departmental budget management
  • Strong written and verbal communication skills. Highly proficient at writing well‐formulated emails and notifications. Ability to effectively communicate with employees, contractors and vendors. Experience with technical writing and document development / generation.
  • Excellent interpersonal skills with experience dealing with a diverse workforce.
  • Strong attention to detail and customer focus
  • Strong multi‐tasking ability in conjunction with proven organizational skills.
  • Ability to organize assigned tasks in a high paced environment and concurrently monitor tasks/assignments with others that may impact timely completion
  • Familiarity with FDA and EU environments and associated compliance regulations

Working Conditions: Physical / Mental Demands:

  • Occasional stooping, bending, stretching, pushing, pulling, reaching and/or lifting up to 25lbs
  • Ability to sit, stand, walk and move within workspace for extended periods
  • Ability to perform repetitive tasks including hand to finger manipulations, grasping, pushing and pulling

Environmental Conditions:

  • Primarily office environment
  • Ability to work safely and effectively when working alone or with others
