Job Description

Our Development team ensure production can be scaled up whilst remaining stable, effective, deliverable and safe. Following formulation, cutting edge computer modelling techniques are used to simulate outcomes and, if successful, PKPD and toxicity studies bring the science one step closer to giving hope to patients.

Lead Assoc., Late Development Statistics

Established in 1938, Biostatistics and Research Decision Sciences (BARDS) develops and applies statistical methods in the targeting, discovery, development, manufacturing and marketing of pharmaceuticals, vaccines and biologics through the design, conduct, analysis, interpretation and communication of pre-clinical, and clinical investigations. BARDS permanent staff includes over 570 statisticians and statistical programmers located in three regions (US, Europe and Asia Pacific). Global staff augmentation includes over 230 sourced staff.

Primary Responsibilities:

  • Manage all administrative and logistical needs for the SVP/VP
  • Manage complex calendar, special meetings and projects
  • General Secretarial/Clerical duties
  • Prepare, process and reconcile expense reports, purchase orders and payment requests as needed
  • Work requires the coordination and performance of multiple tasks while understanding the project principles and technical skills related to own work assignments.
  • Work priorities and activities are reviewed with little supervision.
  • Produces/completes various work assignments requiring advanced analytical ability, independent judgment, creativity and problem-solving skills.
  • Schedules complex, multi-leg and international travel
  • Process Visa requests as need for travel
  • Support recruiting efforts for the SVP/VP to include scheduling candidate visits, collecting feedback and onboarding as needed
  • Supports the use of Team Sites
  • Serve as mentor to administrative team, holding quarterly meetings and trainings
  • Communication Skills must be at a level to effectively interact with our Company executives and internal/external clients both on-site and remotely to maintain workflow.
  • May coordinate special projects within the division/area.

Education Minimum Requirements:

  • Required: High School Diploma

  • Preferred: Advanced education or certifications such as (e.g. Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification)

Required Experience and Skills:

  • Minimum of (10) years Administrative Assistant experience

  • Minimum of (5) years Administrative experience supporting Sr. Directors / Executives

  • Advanced computer skills using (MS Outlook, Word, Excel, Power Point) and operation of other Company's internal systems

  • Demonstrated experience scheduling and coordinating complex, multi-leg domestic and international travel

  • Experience processing Visa/Passport Applications

  • SAP experience processing Expense Reports, Purchase Orders, Payment Requests. Vendor Add Forms, as well as run reports within SAP

  • Ability to handle and prioritize a large number of simultaneous assignments

  • Event Planning/Coordination experience

  • Extraordinary attention to detail

  • Outstanding communication and people skills

  • Budget/Finance Management experience

Preferred Experience and Skills:

  • Assist with planning, scheduling global departmental seminars/meetings

  • Maintain BARDS staffing spreadsheet to track open positions, offers and onboarding

  • Maintain BARDS organizational charts and a library of BARDS CVs for use in audits and inspections

  • BARDS business partner for office space planning, tracking, and assignments

  • Maintain the BARDS Administration Team Site
