The Office of General Counsel currently has an opening for an Administrative Associate to provide administrative support to attorneys within our Company’s Intellectual Property Group.

Position Description:

The successful candidate will provide administrative support for attorneys in the intellectual property legal group. The individual will coordinate and perform multiple administrative tasks in a high-volume environment for the team, and closely collaborate with administrative associates and paralegals in the intellectual property legal group.

The individual’s responsibilities will include:

  • calendar management (meetings, attendance),

  • phone coverage,

  • management of visitor access including escorting visitors,

  • managing lunch tickets and food service for visitors,

  • all aspects of coordinating domestic and international travel,

  • meetings and teleconferences,

  • notarization of documents,

  • SAP expense reimbursement processing,

  • management and purchase of supplies

  • the resupply of printer paper,

  • performing advanced secretarial/clerical duties,

  • monitoring and distributing incoming mail,

  • organizing documents for Managing Counsel sign off and checking for completeness.

It is expected that the successful candidate will serve as a resource expert on Power Point, Excel, Adobe Acrobat, etc., to help finalize documents for distribution or presentation. Review and approval of invoices for compliance with billing guidelines and creation of matters within T360 e-billing and matter management system are other responsibilities.

The successful candidate may also be called upon to assist with other duties and special projects within the team/intellectual property legal group, including support of one or more internal working committees and special tasks. The successful candidate must have the ability to prioritize work from multiple sources and originators, exercise a high level of discretion with confidential information, operate independently, exercise good judgment and take initiative. Excellent attention to detail, computer skills, professional communication and interpersonal skills, flexibility and teamwork are a must.

Position Qualifications:

Education Minimum Requirement:

  • High School Diploma or equivalent, required

Required Experience and Skills:

  • Minimum of (8) years Administrative Assistant experience

  • Minimum of (3) years Administrative Assistant experience supporting Directors / Executives / Partners or equivalent

  • Intermediate to advanced computer skills using MS Office (Outlook, Word, Excel, Power Point, etc.) and Adobe Acrobat Pro

  • Ability to handle and prioritize a large number of simultaneous assignments

  • Advanced secretarial/clerical abilities with a history of high performance

  • Experience with all aspects of scheduling meetings and teleconferences

  • Demonstrated experience coordinating travel

  • Extraordinary attention to detail and organization skills

  • Professional communication skills

  • Outstanding people skills

  • Documented experience as a strong performer in current and past positions

  • Ability to exercise initiative, flexibility, tact and independent judgment

  • Enthusiastic, self-motivated team player with a strong work ethic

Preferred Experience and Skills:

  • Preferred: Paralegal certificate, Associate degree or Bachelor’s degree

  • Experience as an intellectual property administrative associate in a corporate or law firm setting

  • Experience processing Visa and Passport applications

  • Notary public commission
