Job Description

This Senior Administrative Associate will support a team consisting of an Associate Vice President and (4) Executive Directors in the Regulatory Compliance & Partner Operations department and bring to the role a history of high performance, with documented experience as a strong performer in current and past positions. Our teams provide regulatory domain expertise for our pipeline and marketed products/brands with close connectivity to evolving regulations to enhance high quality, compliant delivery. We have a steadfast commitment to operational excellence and accelerating technology adoption. The overall organization is a global one with staff located across several geographies (North America, Latin America, Asia Pacific, & Europe).

Primary duties include, but are not limited to:

  • Extensive scheduling and calendar / meeting management support for executives. Includes proven ability to understand priorities of executives and balance calendar accordingly.

  • Expert in Microsoft Outlook with the ability to independently coordinate meetings, from both planning and scheduling perspectives, with multi time zone management

  • Experience scheduling complex travel arrangements including multi-leg domestic and international travel

  • Demonstrated experience with processing of Visas/Passports.

  • Advanced computer skills using Word, Excel, Power Point and operation of other peripheral devices

  • Knowledge and ability to support Sharepoint Sites /Microsoft Teams and other collaboration tools

  • Management of Outlook Global distribution list

  • Knowledge of HR Workday platform to perform tasks including serving as a delegate for Workday transactions

  • Advanced knowledge of Comet/SAP- including Expense Reports; Purchase Orders; Payment Requests; Vendor Add Forms, as well as the capability to run reports within SAP

  • Experience with financial and budgeting tasks

  • Support and coordinate special projects within the group / division

  • Where required, matrixed work activities with other departmental Assistants

  • Ability to handle and prioritize a large number of simultaneous assignments with little supervision

  • Experience with event planning and coordination

  • Extraordinary attention to detail, well organized, and outstanding communication

  • Ability to develop relationships and work well with others in demanding situations with a positive attitude

Required:

  • Minimum of (8) years Administrative Associate experience with a minimum of (3) of those years supporting executives (Director, Executive Director, VP or above)

  • The coordination and performance of multiple tasks while understanding the project principles and technical skills related to own work assignments.

  • Ability to take initiative and drive results.

  • Producing/completing various work assignments requiring advanced analytical ability, independent judgment, creativity and problem-solving skills.

  • A high level of communication skills, which are at a level to effectively interact with our company's executives and internal/external clients both on-site and remotely to maintain workflow. Effectively and appropriately manages confidential tasks.

Education:

  • Required: High School Diploma

  • Preferred: Advanced education or certifications such as (e.g. Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification)
