Our company's Business Development & Licensing (BD&L) organization is focused on building strong partnerships with the external life-science community to bring new and life-changing therapies to waiting patients. The Pacific Hub team, which operates out of our state-of-the-art R&D site in South San Francisco, China and Japan, is seeking to add an experienced Administrative Associate to support the team. We focus on identifying and transacting on novel science across all therapeutic areas and modalities that can enhance our drug discovery efforts and pipeline by entering into deals with biotechnology companies in California and the west coast of North America as well as Asia Pacific.

The Senior Administrate Associate will serve as a key member of the Pacific Hub BD&L team and provide administrative and operations support to the Associate Vice President and Head of the Pacific Hub and four Search and Evaluation and Transactions BD&L professionals based in South San Francisco. The Senior Administrative Associate will liaise with senior leaders across our company and our Research Laboratories and also work closely with BD&L team members based in Asia Pacific and also BD&L colleagues across other sites in the U.S. and Europe. The successful candidate should have experience and confidence representing our company and interacting with CEOs, CSOs and CBOs of external companies; demonstrated ability and initiative to navigate a large organization and enjoy using technology and creativity to support the team.

Specific responsibilities include:

  • Overall administrative support and facilitation of operations for the Pacific BD&L team based in South San Francisco, including general day-to-day administrative support and regular interactions with senior leaders across our company and external companies.

  • Complex calendaring and scheduling of meetings with external companies and various internal meetings with our employees across multiple sites and time zones, including coordinating agendas, arranging appropriate meeting space, facilities and catering.

  • Work as part of a team with Administrative Assistants throughout BD&L, the SSF Site and our company's organization to provide assistance and back-up when needed.

  • Learn and master BD&L’s internal database system and processes (entering new projects, creating new customer and individual IDs, closing out records) and Microsoft Office suite of products to support BD&L operations.

  • Expense report processing.

  • Travel arrangements and registrations for external conferences and meetings.

Education:

  • H.S. degree/GED required; Associate’s degree preferred.

Experience & Skills:

  • Must have excellent communication skills - demonstrated ability to speak and write clearly and succinctly.

  • Accuracy and attention to detail in all aspects of work.

  • Effective time management/organizational skills in supporting multiple managers.

  • Ability to meet deadlines, anticipate needs and independently/effectively prioritize work.

  • Ability to independently anticipate and solve problems that arise within job responsibilities.

  • Discreet in handling sensitive and confidential information, and a high level of integrity.

  • Advanced Proficiency in Microsoft Office Suite (Outlook, Word, SharePoint, PowerPoint, Teams, Excel).

  • 5+ years of administrative support experience, including at least 1 year supporting and/or working with senior executives.
