Job Description

Our Animal Health division, a global, research-driven company that develops, manufactures, and markets a broad range of veterinary medicines and services, is seeking a Clinical Operations Specialist for our Clinical Research team located in New Jersey.

The incumbent will coordinate and execute back-office and operational tasks that support planning, execution and progress of Clinical studies under GCP principles, being responsible for payments, invoices, purchase orders, agreements, shipments (incl. international), compliance, schedules and supplies (incl. study documentation) in the Clinical Research department. This individual will interact with different external and internal stakeholders that are involved with our Clinical projects.

The Clinical Operations Specialist serves an integral function within the Clinical Research team, ensuring smooth operation of day-to-day activities. This individual will directly handle tasks that provide crucial support to our scientists, monitors and research associates, and will interact with other departments in R&D as well outside of R&D such as Procurement, Legal and Finance. The incumbent will also interact externally with CROs and investigators on a regular basis. This position requires strong attention to detail and excellent organizational and communication skills, as well as basic knowledge of GCP principles, with focus on efficiency, process improvement, compliance and interdepartmental collaboration.

Responsibilities Include, But Are Not Limited To:

  • Assist scientists, monitors and clinical research associates with supplies, schedules and overall operational support (incl. study documentation and data as necessary), in compliance with internal procedures and GCP principles

  • Create and manage Purchase Orders via the company system (Ariba)

  • Handle and manage invoices and payments to CROs and investigators

  • Support the scientists with study agreements, liaising with other departments and outside parties, in compliance with internal procedures

  • Act as a resource for a variety of department relationships, including vendors, procurement, and others

  • Support internal processes for approval of funds as necessary

  • Assist management with financial planning (budget) for Clinical Studies

  • Bring elucidation to routine, yet complicated, business processes, helping to identify possible solutions as necessary

  • Contribute to the overall organization of the department, including compliance

  • Responsible for routine interaction with scientists and upper management, so communication skills as well as problem solving (incl. analytical abilities) will be essential to this role

Education Minimum Requirement

  • Bachelor's degree is required, with experience in life sciences/healthcare administration (1-3 years). Experience in a pharmaceutical/clinical study setting is a strong plus.

Required Experience and Skills

  • Meticulous record keeping skills and proficiency with Microsoft Office.

  • Experience with Ariba or similar SAP system.

  • Basic knowledge of Clinical Studies process and/or GCP principles

  • Proven ability to handle and prioritize a large number of simultaneous assignments and drive results.

  • Outstanding communication skills - demonstrated ability to speak and write clearly and succinctly.

  • Accuracy and attention to detail in all aspects of work.

  • Effective organizational skills in supporting multiple functions.

  • Ability to meet deadlines and independently/effectively prioritize work.

  • Ability to independently anticipate and solve problems that arise.

  • Consistent delivery of commitments in a fast-paced work environment.

  • Team player with a “can-do” attitude, flexibility, and adaptability.

  • Willingness to learn.
